Reporting to our Senior Manager of Talent, the Office Assistant will keep the Tampa office running smoothly and will be a key driver of employee experience and office culture. This role goes beyond office operations to include employee engagement and lightweight IT support like setting up new-hire office equipment.

Success will be measured not just by tasks completed, but by initiative shown - anticipating needs, proposing improvements, and taking ownership of what needs to be done around the office without waiting to be asked. This means being proactive in flagging problems early and proposing solutions, keeping your manager informed of progress and blockers while responding promptly on Slack and email, and handling HR-related and financial information with appropriate discretion. Below is a very detailed description of this role.

In this role, you will:

Employee Engagement & Workplace Experience

  • Coordinate employee celebrations, milestones, and team events
  • Support new hire onboarding logistics (desk setup, supplies, access) for Tampa hires
  • Serve as a welcoming presence for employees, candidates, and visitors

Facilities & Office Operations

  • Maintain office cleanliness and organization of shared spaces
  • Coordinate HVAC maintenance, building requests, and office equipment issues
  • Manage office access (badges, keys, security) and health & safety compliance

Kitchen & Supplies

  • Maintain kitchen inventory and order supplies, water delivery, and bulk items from Costco
  • Physical requirement: ability to lift up to 50 lbs and use stairs daily

Vendors & Cleaning

  • Serve as primary on-site contact for vendors
  • Schedule and oversee professional cleaning services for office and corporate apartment
  • Source and manage office and apartment service providers

Mail & Finance Support

  • Receive, sort, and distribute mail and packages
  • Route financial mail to finance team and maintain vendor invoices/receipts
  • Assist with office operations budget tracking

Company Apartment & Visitor Logistics

  • Keep company apartment guest-ready (mail, restocking, cleaning coordination)
  • Manage check-in/check-out (keys, access, car passes)
  • Coordinate visitor travel and itineraries

Meetings & Events

  • Prepare meeting rooms and common spaces for in-office meetings and events
  • Order and coordinate catering and refreshments

General Support

  • Organize office layout and maintain asset inventory

To qualify for this role, you have:

  • Ability to work 9 am to 5 pm ET in our Westchase, FL office full-time, with flexibility to arrive early or stay late if needed
  • At least 1 year of experience as an office assistant/manager (hard requirement)
  • Ability to lift 50 pounds and use stairs daily
  • A reliable vehicle and a valid driver's license
  • Ability to multitask and manage competing priorities effectively
  • Some IT experience; ability to set up computers, monitors, and other devices for new hires
  • Naturally curious and able to solve problems independently
