Job description

 

How You’ll Contribute:

The Producer supports the planning and execution of virtual and hybrid events, with a primary focus on Zoom-based meetings and internal productions. This role is responsible for coordinating logistics, supporting live event execution, and ensuring a smooth experience for presenters and attendees.

This position includes direct interaction with internal stakeholders and occasional exposure to executive-level participants, requiring strong communication, professionalism, and attention to detail.

What You’ll Do:

 

Virtual Event Execution

  • Support and operate Zoom meetings and webinars for internal events
  • Manage meeting setup, including links, settings, and participant access
  • Assist with live event execution, including admitting participants, monitoring chat, and basic troubleshooting
  • Ensure a smooth and professional virtual experience for all attendees

Production

  • Assist in building and maintaining run-of-show documents
  • Coordinate scheduling, meeting logistics, and event details
  • Support presenters with pre-event setup, including basic technical checks
  • Track event requirements and ensure readiness ahead of live sessions

Stakeholder & Executive Support

  • Communicate clearly with internal stakeholders to support event planning and execution
  • Assist in preparing presenters, including executive participants, for virtual events
  • Maintain a high level of professionalism and discretion when supporting leadership
  • Provide real-time support during events while ensuring a calm and organized experience

Technical Support (Basic)

  • Provide first-level support for common audio/video issues
  • Assist with screen sharing, presentation playback, and platform navigation
  • Escalate technical issues to senior production or engineering teams as needed

Team Collaboration

  • Work closely with Producers and technical teams to support event delivery
  • Maintain clear communication before, during, and after events
  • Support multiple events and priorities in a fast-paced environment

Work Environment

  • Primarily on-site, with some flexibility depending on event needs
  • Schedule may vary based on live event timing

High School Diploma/ GED

 

Required Skills/Qualifications:

  • 1–3 years of experience in event production, media, AV, or related field (or internship experience)
  • Familiarity with Zoom (meetings, webinars, or virtual events)
  • Strong communication skills with the ability to interact professionally with stakeholders at all levels
  • Highly organized and detail-oriented
  • Ability to stay calm and responsive in live event environments

Desired Skills/Qualifications:

  • Exposure to supporting executive-level meetings or internal corporate events
  • Experience in hybrid (virtual + in-room) environments
