Virtual Assistant Intake information

What is a virtual assistant intake?

Virtual Assistant Intake specialists are remote professionals who handle the initial onboarding, screening, and information gathering processes for clients or customers. They often serve as the first point of contact, collecting essential details, assessing needs, and ensuring that all necessary information is properly documented for further action. Their work streamlines workflows, improves client experiences, and supports organizations in managing new requests efficiently. This role is especially common in healthcare, legal, and service-based industries.

What are the key skills and qualifications needed to thrive as a virtual assistant intake?

To thrive as a Virtual Assistant Intake, you need excellent organizational abilities, attention to detail, and strong communication skills, often supported by experience in administrative roles or customer service. Familiarity with CRM systems, scheduling software, and cloud-based collaboration tools is typically required. Exceptional interpersonal skills, discretion, and the ability to multitask make someone stand out in this position. These skills ensure efficient client onboarding, smooth workflow management, and a positive first impression for the organization.

What are some common challenges faced by virtual assistant intake professionals, and how can they be managed effectively?

Virtual Assistant Intake professionals often navigate high volumes of inquiries and must accurately gather and organize client information, which can sometimes be overwhelming. Effective time management and the use of robust CRM tools are essential to keep track of details and ensure prompt follow-up. Additionally, clear communication and active listening skills help avoid misunderstandings and ensure all client needs are addressed efficiently. Collaborating closely with other team members, such as account managers or support staff, also helps distribute workload and maintain service quality.

Job description

About the Opportunity
Equivity is seeking an experienced Legal Assistant with strong, hands-on experience using Clio Manage and Clio Grow to support day-to-day law firm operations.
This is an assignment-based opportunity designed for legal assistants who value the flexibility of remote work and enjoy supporting a variety of law firms and matters across the country. As client needs evolve, assignments and workload may vary based on business demand. This role is a good fit for a legal assistant who values professional flexibility and is comfortable with a workload that can fluctuate rather than requiring a guaranteed number of weekly hours from the outset.
When actively supporting clients, responsiveness is important. Because client needs can arise on short notice, legal assistants are expected to remain responsive to their active clients and Equivity managers within one hour during their stated availability.
If you're a legal assistant who appreciates autonomy, remote flexibility, and the opportunity to work with multiple legal teams, this assignment-based model may be a strong fit.

Responsibilities May Include
  • Setting up, organizing, and maintaining matters, contacts, calendars, tasks, and workflows in Clio
  • Configuring Clio features to improve law firm organization and efficiency
  • Creating and maintaining templates, custom fields, task lists, and matter structures
  • Supporting client intake and matter-opening processes
  • Managing legal calendars, deadlines, appointments, and attorney schedules
  • Organizing electronic client and matter files
  • Generating reports and tracking matters, tasks, and firm activity
  • Identifying opportunities to improve Clio workflows and administrative processes
  • Providing general legal administrative support based on client needs
  • Communicating professionally with clients, courts, vendors, and other legal professionals

We Are Looking For
  • At least one year of recent experience supporting attorneys or working in a law firm environment
  • Strong hands-on experience with Clio Manage and/or Clio Grow
  • Experience creating or improving Clio workflows, matter structures, templates, tasks, or related functions
  • Bachelor’s degree required
  • Availability to support at least 20 hours per week when assignments are available
  • Strong understanding of law firm processes and legal terminology
  • Exceptional organizational, communication, and time-management skills
  • Comfort learning new technology and improving existing processes
  • Proficiency with Microsoft Office and Adobe Acrobat
  • Access to a reliable Windows-based computer
  • Ability to respond within one hour during stated availability

Compensation and Work Structure
  • W-2 employment
  • Compensation: $23 per hour
  • Part-time, assignment-based work
  • Assignment volume and hours may vary based on client demand
  • Client assignments may take time to develop and are not guaranteed immediately upon joining
  • Benefits eligibility may depend on employment status and applicable plan requirements

Why Join Equivity?
At Equivity, you will join a nationwide team of legal professionals supporting attorneys and law firms across the country. You will receive ongoing support from Equivity’s internal operations and leadership teams while working remotely and applying your skills to substantive legal and administrative assignments.

Benefits include:
  • Medical, dental, and vision coverage
  • Paid sick time
  • Employee discounts
  • Annual performance bonuses
  • Six-month pay reviews with potential hourly increases based on performance
  • Reimbursement of certain business expenses
  • Professional development and advancement opportunities

About Equivity
