Summary:
We are looking for a highly organized and proactive Virtual Assistant to deliver end-to-end administrative support to our distributed team. This role plays a critical part in maintaining operational efficiency, allowing leadership and departmental teams to focus on strategic initiatives. You will manage a diverse range of responsibilitiesโincluding calendar coordination, document preparation, data management, correspondence, travel logistics, and project supportโwith accuracy, discretion, and a strong sense of initiative. The ideal candidate is tech-savvy, self-driven, and adept at navigating fast-paced remote workflows. Responsibilities:
- Coordinate schedules, manage meetings, and handle appointment logistics across multiple time zones
- Create, edit, and format professional communications, reports, presentations, and business documents
- Organize and maintain digital filing systems, databases, and CRM platforms
- Manage incoming correspondence through email triage, drafting responses, and follow-up tracking
- Prepare detailed travel itineraries, expense reports, and related documentation
- Support project workflows by monitoring deadlines, compiling progress updates, and facilitating deliverables
- Conduct research, gather data, and produce concise summaries for executive or team use
- Assist with social media content scheduling and basic visual coordination when required
- Uphold data privacy and security standards in all administrative activities
- Serve as a reliable liaison for internal and external stakeholders, providing prompt and accurate information
Requirements
Requirements:
- High school diploma or equivalent; associateโs or bachelorโs degree is a plus
- 2+ years of experience in administrative support, virtual assistance, or office coordination
- Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace
- Hands-on experience with project management tools such as Asana, Trello, or Notion
- Excellent written and verbal communication skills with flawless grammar and meticulous attention to detail
- Demonstrated ability to manage multiple priorities, meet deadlines, and work independently in a remote setting
- Stable, high-speed internet connection and a dedicated, distraction-free workspace
- Familiarity with CRM platforms (e.g., HubSpot, Salesforce) and virtual meeting tools (e.g., Zoom, Microsoft Teams)
- Highly self-motivated, proactive, and capable of thriving with minimal supervision
- Experience using remote collaboration platforms and digital document management systems
