Job Summary:
The Member Services Representative is a full-time hybrid position responsible for providing certification support and assistance to members of the IAED in accordance with established standards. This role will focus on maintaining certification and recertification records in a complex learning management system. Other responsibilities include, but are not limited to quality assurance, fulfillment, and responding to member inquiries in a timely manner.
Duties/Responsibilities:
• Interacts professionally with internal and external contacts
• Serves as a point of contact for members and agencies for certification guidance, ensuring that IAED policies and standards are met and upheld
• Enters all certification and recertification data
• Quality assures all data entered by identifying and correcting discrepancies
• Clarifies discrepancies with training officers or supervisors as needed
• Prioritizing, organizing, and completing multiple tasks/projects within assigned timelines, with a high degree of quality, accuracy, and follow through
• Tracks shipping dates, certification processing dates, and waivers
• Records notes of all transactions that occur
• Files and archives documents
• Assists with inventory
• Generates Quality Assurance Guide rental contracts
• Other duties as assigned
Qualifications/Skills and Knowledge Requirements:
• At least 1 year of data entry experience is required
• Experience with fulfillment, shipping, and inventory is preferred but not required
• Excellent organizational skills, strong oral, written, and interpersonal communications, and a strong commitment to customer service
• Excellent history of longevity in previous positions of employment
• Must have a high level of interpersonal skills to handle sensitive and confidential situations with demonstrated poise, tact, and diplomacy
• Demonstrates self-motivation and high initiative with sharp attention to detail while multitasking under tight deadlines
• Must have the ability to learn new computer systems and adapt to change quickly
• Proficient with Microsoft Office 365, Smartsheet
• Exhibits polite and professional communication via phone, e-mail, and mail
• Must work independently at times as well as follow specific directions to meet team goals and deadlines
Essential Job Functions:
• Prolonged periods of sitting at a desk and working on a computer
• Entering and checking data for long periods of time
• Communication in person, over the phone and in virtual meeting settings
• Problem-solving
• Concentrating for long periods of time
• Must be able to occasionally lift and carry 10-25 pounds
