Job description

This position will play a key role in supporting the day-to-day operations of the business by handling customer inquiries, processing orders, assisting with quotes and purchase orders, organizing accounts receivable and accounts payable paperwork, and maintaining accurate records. This position is ideal for someone who is organized, dependable, detail-oriented, and eager to learn. The right candidate will have the opportunity to develop broader knowledge of our products, services, customers, and operations and take on increasing responsibility over time.
Responsibilities
  • Respond to customer phone calls and emails, answer routine questions, and direct inquiries to the appropriate team member when needed.
  • Assist with accounts receivable and accounts payable processes, including invoices, receipts, payment documentation, and related paperwork.
  • Provide general administrative support, including document preparation, filing, data entry, scheduling, and other day-to-day office needs.
  • Receive, enter, and process customer orders accurately and efficiently.
  • Coordinate with customers, vendors, and internal team members to obtain information, resolve routine issues, and keep orders and other requests moving forward.
  • Prepare and assist with customer quotes, proposals, and purchase orders.
  • Maintain accurate customer, vendor, order, financial, and company records.
  • Develop a working knowledge of the company's safety equipment, training services, customers, vendors, and internal processes.
  • Cross-train in additional areas of the business and take on increasing responsibility as knowledge and experience develop.

Qualifications

  • High school diploma or equivalent required; additional education or relevant training is a plus.
  • Prior administrative, office, customer service, or operations experience preferred.
  • Strong organizational and time-management skills with excellent attention to detail.
  • Professional verbal and written communication skills.
  • Comfortable working with numbers, invoices, purchase orders, and other business documentation.
  • Proficient with Microsoft Office or comparable business software and able to learn new systems quickly.
  • Ability to manage multiple priorities while maintaining accuracy and follow-through.
