Summary

The Executive Assistant to the EVP, President of Moffitt Foundation will oversee and coordinate administrative services for the Moffitt Foundation operations including executive office operations, complex scheduling, travel, board activities, communications, presentations, while anticipating needs and coordinating competing priorities. Establishes work procedures and standards to improve efficiency and effectiveness. Ability to coordinate calendars, scheduling and itinerary for executives and board without immediate supervision. Ability to create presentations for executive and/or board meetings. Ability to create and interpret reports for executive. Ability to communicate and handle internal and external communications for executive.

The Ideal Candidate will have:

  • Executive support experience in an office setting to include supporting senior leaders.
  • Experience in healthcare, research/academic, life sciences, and/or biopharma setting strongly preferred
  • Proven ability to manage complex priorities
  • Experience supporting strategic initiatives
  • Ability to operate independently in fast-paced environment
  • Exceptional customer service and communication skills
  • Strong command of English grammar, spelling, and proofreading skills
  • Self-starter who can organize work and anticipate issues with limited supervision
  • Familiarity with office organization protocols and procedures
  • Discretion and judgment in handling confidential information
  • Proficiency with advanced Microsoft Office applications - including Word, Excel, PowerPoint,and Outlook

Select Responsibilities:

  • Oversees and coordinates administrative services for the EVP's office
  • Coordinates calendars, scheduling, and itineraries for the EVP
  • Manages complex schedules and meetings
  • Manages travel arrangements for the EVP and board activities
  • Initiates various meeting agendas and organizes off-sites
  • Serves as a key liaison for the EVP, fostering productive relationships and ensuring effective communication with internal and external stakeholders
  • Prioritize and adjust EVP's engagements based on their urgency
  • Establishes work procedures and standards to improve the Office effectiveness.
  • Drafts, manages finalization, and communicates internal and external communications for the EVP.
  • Provides support for needs of the EVPsuch asexpense reports, check request, and purchase orders for the EVP.
  • Provides support for the EVP's domestic and international travel - including transportation, lodging, preparation of itineraries and assembly of supporting materials
  • Coordinates special projects such as industry meetings and business dinners
  • Conducts background research to prepare the EVPon guests, candidates, and prospective industry partners.

Credentials and Qualifications:

  • High School Diploma/GED
  • Minimum of seven (7) years administrative support experience in an office setting with at least 3 years at the executive level leaders.

Preferred:

  • Proven ability to manage complex priorities
  • Experience supporting strategic initiatives
  • Associate's degree and/or Bachelor's Degree
  • Experience in Philanthropy
  • Prior experience in a healthcare setting a plus

Salary Range

$26.96 - $41.15

Salary ranges posted for this position represent the expected base pay range for the role. Actual compensation may vary based on location and a variety of job-related factors, including experience, skills, education, and internal equity among Team Members in similar positions.
