A Veterinary Office Manager oversees the daily administrative operations of a veterinary clinic or hospital. Their duties typically include managing staff schedules, handling client communications, maintaining medical and financial records, ensuring compliance with regulations, and supporting veterinarians and technicians. They play a key role in ensuring the clinic runs smoothly, providing excellent customer service, and helping to create a positive work environment for staff and clients alike.

What are the key skills and qualifications needed to thrive as a veterinary office manager?

To thrive as a Veterinary Office Manager, you need strong organizational skills, knowledge of veterinary office procedures, and experience in administrative management, often backed by a degree in business administration or animal science. Familiarity with veterinary practice management software, billing systems, and scheduling tools is typically required, and certification like CVPM (Certified Veterinary Practice Manager) can be advantageous. Job description

Office Manager
Clifton Hollow Animal Hospital | Poulsbo, Washington

We're Looking for a Leader—Not Just a Manager.

At Clifton Hollow Animal Hospital, we believe great hospitals aren't built by buildings or equipment.
They're built by great people.

We're looking for an Office Manager who wants to help build something meaningful alongside us. This position is ideal for someone who loves people, enjoys solving problems, thrives on organization, and wants to make a real difference—not only in the daily operation of a veterinary hospital, but in the lives of the team members they serve.

While previous management experience is certainly valuable, we care far more about character than titles. We can teach systems. We can develop leadership skills. We cannot teach integrity, humility, kindness, or a genuine desire to serve others.

If you are the right person, we envision this role growing into a Veterinary Practice Manager as both you and our hospital continue to grow.

About Clifton Hollow Animal Hospital:
We are an independently owned small animal hospital in beautiful Poulsbo, Washington.
Our mission is simple: Provide exceptional veterinary care while creating an extraordinary experience for our clients, patients, and team.
We've recently moved into our new hospital and are entering one of the most exciting seasons in our history. As we continue to grow, we're looking for someone who wants to help shape the future of our practice.
This isn't about maintaining the status quo.
It's about building something exceptional.

What You'll Do: You'll work closely with the owners to help keep our hospital running smoothly while supporting and encouraging our growing team.
Responsibilities may include:
  • Supporting and encouraging our staff.
  • Helping with hiring and onboarding.
  • Coordinating schedules.
  • Improving systems and workflows.
  • Assisting with client service and communication.
  • Managing office operations.
  • Helping maintain an organized, efficient hospital.
  • Working alongside the owners to improve the practice as we grow
As your experience and confidence grow, your responsibilities can grow as well.

Who We're Looking For: You don't need to be perfect.
But we are looking for someone who demonstrates:
  • Exceptional integrity.
  • Humility and a willingness to learn.
  • Emotional maturity.
  • Strong organizational skills.
  • Excellent communication.
  • A positive attitude.
  • Initiative and ownership.
  • Compassion for both people and animals.
  • The ability to lead through encouragement rather than fear.
  • A desire to continue growing professionally.
  • Veterinary experience is helpful.
  • Leadership experience is helpful.
  • Neither is as important as finding the right person.

Why You'll Love Working Here:
  • We're building more than a veterinary hospital.
  • We're building a place where people enjoy coming to work.
  • As a privately owned practice, your ideas matter. You'll work directly with the owners, have opportunities to influence the direction of the hospital, and be encouraged to grow professionally.
  • We believe in investing in people who are committed to excellence and who care deeply about serving others.

Compensation & Benefits:
We offer competitive compensation based on experience, character, and leadership potential.
Benefits include:
  • Paid Time Off.
  • Simple IRA retirement plan.
  • Dental and Vision insurance.
  • Employee pet care discounts.
  • Continuing education opportunities.
  • Opportunities for advancement into a Practice Manager leadership role as the hospital grows.

If This Sounds Like You...

We'd love to meet you.
Please submit your resume along with a brief cover letter telling us why you're interested in joining Clifton Hollow Animal Hospital. We're not simply hiring an Office Manager. We're looking for someone who wants to help build an extraordinary veterinary hospital.
