ROLE OVERVIEW


As an Executive Assistant to the CEO, you are the engine that keeps the train going. Without you, the conductor cannot drive the train. The ideal candidate will provide top-level assistance for high level executives. They should be well-organized and be comfortable scheduling meetings and responding to emails on the executive's behalf. Lastly, this individual should be able to draft documents and help the executive with any necessary meeting preparations.


Duties and Responsibilities:


  • Maintain complex, dynamic calendars across multiple time zones for executives.
  • Proactively resolve conflicts and propose solutions.
  • Manage coordination and logistics for internal and external meetings (in-person and virtual), including scheduling, rooms, technology, attendee management, pre-reads, and follow-ups.
  • Organize internal and external events end-to-end, including room strategy, catering, visitor logistics, and transportation.
  • Arrange and coordinate complex domestic and international travel with accuracy, efficiency, and contingency planning.
  • Screen incoming calls and messages; triage appropriately while exercising discretion and care in handling information.
  • Draft and edit high-quality emails and communications for audiences at all levels; ensure tone and accuracy align to senior leadership expectations.
  • Maintain department documents such as executive bios and key reference materials.
  • Operate independently by anticipating upcoming deadlines, flagging risks early, and communicating issues or delays in advance.
  • Assist with editing spreadsheets and presentations; coordinate printing/binding and meeting materials preparation as needed for client engagements.
  • Collaborate with many departments to ensure seamless communication.
  • Additional responsibilities as assigned.


Requirements:


  • High fluency in Mandarin Chinese.
  • Able to stand, sit, or walk for extended periods at a time.
  • Frequent bending, reaching, and repetitive movements in a fast-paced environment.
  • Able to work in varying conditions, including heat, cold, and noise.
  • Able to push, pull, and lift up to 50lbs.


Essential Functions:


  • 5+ years of administrative experience supporting busy leaders and teams.
  • Prior restaurant experience is not necessary but preferred.
  • Advanced organization skills with the ability to manage shifting priorities and tight deadlines
  • Strong discretion and sound judgment in confidential situations.
  • Demonstrated comfort engaging with senior stakeholders.
  • Excellent interpersonal, written, and verbal communication skills.
  • Strong proficiency in Microsoft Office (Outlook, Excel, PowerPoint, Word).
  • Professional phone etiquette and the ability to prioritize competing demands, especially calendar management.
  • Strong communication and a passion for delivering world-class service at every touchpoint.
