Purpose: The Building Secretary coordinates the school office and provides a wide range of administrative support to assist with the effective and efficient operations of the building. This includes providing support for the Principal, teachers, and classified staff as needed. Additionally, provides support for students and families as needed.
Essential Functions:
  1. Provide administrative support to the Principal to include tasks such as maintaining calendars, scheduling TPEP observations, creating correspondence, generating reports, inventory and ordering of office supplies, preparing purchase orders, answering phones and taking messages, greeting the public, and serve as district liaison in a courteous and professional manner.
  2. Monitor the Frontline/AESOP sub system (or current program) and ensure that substitutes are secured for both certificated and classified staff and ensure the efficient use of substitute. Manage laptops for substitute teachers.
  3. Manage monthly payroll to include tracking and reviewing classified, certificated, and substitute timecards and absence reports. Submit to principal for review and approval. Submit completed documents to district payroll office monthly.
  4. Manage and maintain a highly organized filing system. Monitor all building records following required record retention schedules.
  5. Assist in the monthly coordination and paperwork for required building safety drills.
  6. Greet, identify and admit all visitors to the school via the security system.
  7. Maintain and manage Federal, State, and local reports as required including the monthly enrollment count report (P223).
  8. Works closely with the district office to administrate activities of purchases, invoicing, payments, and monitoring the school budget. Prepares and reviews budget reports for principal as needed.
  9. Reconcile monthly credit card acquisitions and provide required reporting.
  10. Receive payments and manage accounts receivables associated with school activities, fee assessments, and fundraisers.
  11. Prepare and balance reports for school ASB funds and work directly with the business office on reporting. (Hayes Freedom, PBL and elementary)
  12. Work cooperatively with the systems support specialist, administration, counselors and student services staff to enroll and/or withdraw students. Use Skyward student data system (or current program) to complete class forecasting and scheduling, and to update student schedules. (Elementary)
  13. Manage student Chromebook system including assignments, tracking and assisting with repair.
  14. Develop and maintain student cumulative files, including requesting student records from previous school/district and providing records upon request. End of year roll up and year end file transfers.
  15. Maintain student information and create reports in the Skyward student management software system (or current program).
  16. Complete daily and monthly school attendance using Skyward, completing reporting as needed. (Hayes)
  17. Coordinate boundary exceptions, and special program student enrollments with systems support specialist.
  18. Assist with the maintenance and tracking of student test data as required by the district and the state.
  19. Organize, distribute and collect student testing materials. Proctor tests as requested or needed.
  20. Assist, coordinate and/or manage school activities, such as, student orientation, award ceremonies, graduation and related events, locker/parking assignments, senior project events and activities. (High School)
  21. Work closely with operations staff to ensure maintenance and custodial requests and needs are communicated. Oversee staff key assignments and building access details in coordination with building security.
  22. Maintain school master calendar and web calendar for the scheduling of facilities and events.
  23. Coordinate the production of the school newsletter and launch on school website and current software program. Keep school website and social media postings current.
  24. Coordinate transportation needs using Versatrans Triptracker (or current program) for school functions/events. Reconcile monthly transportation reports with the district and transportation departments.
  25. Manage building textbooks to include order, distribute and maintain inventory.
  26. Coordinate student discipline information to include entering discipline into data base, sending letters to parents, maintaining discipline files and producing daily detention lists. (High School)
  27. Coordinate student credit recovery acquisitions and provide required reporting. (High School)
  28. Manage records and enrollment for the district Grad Alliance program. (High School)
  29. Works closely with other department support staff to provide coverage and assistance as needed.
  30. Provide coverage for the health room in the absence of the health assistant. (All)
  31. Other related duties as assigned by the Principal for the successful operations of the school and the district.

Professional Qualifications:
  1. High school diploma or equivalent required. Post high school education or administrative support training preferred.
  2. Two years of secretarial experience, preferably in an educational environment. (A combination of successful experience and education may be substituted for 2 years of experience).
  3. Ability to use multiple forms of technology to include MS Office Suite, Google Suite, Outlook, Frontline Skyward/Qmlativ and InTouch.
  4. Ability to assist parents, staff, and the community with questions or information related to the school and district.
  5. Possess excellent writing and editing skills.
  6. Maintain current First Aid/CPR certificate as well as other district health and safety trainings.

Work Environment:
The usual and customary methods of performing the job's functions require the following physical demands: Generally, the job requires 50% sitting, 30% walking, and 20% standing. The job is performed in a generally clean and healthy environment.

Benefits
School Employee Benefit Board (SEBB) Eligibility determination: All eligibility determinations are based on rules in Chapters 182-30 and 182-31 of the Washington Administrative Code (WAC). If the position is anticipated to work a minimum of 630 hours in a school year, then that position would be deemed benefit eligible. SEBB benefits include medical, vision, dental, long-term disability and life insurance. Supplemental coverages are also available.
Retirement Eligibility determination: A certificated position participates in the Teacher Retirement System (TRS) which requires at least 5 months of 70 or more hours of compensated employment during a school year to be eligible for Washington State Retirement. A classified position participates in the School Employee Retirement System (SERS) if the position is expected to require at least 5 months of 70 hours or more for two consecutive years (initially) of employment.
