Job description

The Venue Event Producer will be responsible for planning and coordinating administration, technical and logistical support services to ensure the seamless execution of events.

Other responsibilities include, but not limited to:

RESPONSIBILITIES

  • Works closely with the Assistant General Manager to ensure smooth and pristine preparations and execution of all events.
  • Oversee the production and logistics for events annually, ensuring every detail aligns with venue standards.
  • Develops and maintains ongoing business relationships with the venue management team, facilities personnel (GSA, janitorial, engineering teams), vendors, and clients.
  • Coordinates event staff, facility and security schedules to ensure proper coverage for all events.
  • Submits set-up needs, floor plans, equipment orders and Wi-Fi requests to the appropriate party.
  • Manage inventory and organization of event supplies and janitorial equipment; place orders and receive deliveries as needed.
  • Supervises facility projects and enhancements to ensure projects meet venue guidelines and quality standards.
  • Communicate with vendors to confirm accurate and compliant event specifications; coordinate with the sales and catering teams to ensure alignment.
  • Assists in the supervision of all vendors and ensures guidelines are strictly followed on event days.
  • Tracks vendors, subcontractors and suppliers for each event; collect certificates of insurance and invoices in a timely manner.
  • Conducts post-event evaluations of all events and manages the return or deduction of security deposits.
  • Support the venue sales team by assisting with client inquiries and event contracting when needed.
  • Performs other duties associated with the position that are reasonably assigned to support the overallneeds of the business.
  • Associate degree in a related field or Certified Event Professional certification preferred.
  • Three (3) years of increasingly responsible experience in the areas of event planning, logistics, event coordination, production planning and scheduling, or related experience.
  • Excellent verbal and written communication skills in both English and Spanish preferred.
  • Logistics-oriented, hyper-organized, and efficient problem-solver.
  • Superb organization and communication skills (phone, email, written, etc.)
  • The ability to handle stressful situations, remain calm, and problem solving is a must.
  • Outgoing personality with excellent customer service skills.
  • Understanding the importance of Ridgewells brand and its mission is a must.
  • Must possess a strong ability to utilize MS Office products effectively.
  • Ability to work extended hours, including nights, weekends and holidays as needed for assigned events is required.
