POSITION OVERVIEW
FBD Vanguard Construction, Inc. is seeking an experienced Construction Administrative Assistant to support daily office operations at its Livermore, California location. This full-time position requires previous construction industry experience and offers the opportunity to become a key member of a growing construction team by providing administrative, organizational, and client support across multiple business functions.
The Administrative Assistant will coordinate office activities, maintain organized records, support leadership, communicate with internal and external clients, and ensure daily operations run efficiently while maintaining a high level of professionalism and attention to detail.
Answer and direct incoming phone calls professionally.
Organize and schedule appointments and meetings.
Coordinate meetings and prepare detailed meeting minutes.
Prepare and distribute emails, correspondence, letters, memos, forms, and other business documents.
Assist with preparing regularly scheduled reports.
Develop, organize, and maintain company filing systems.
Update and maintain office policies and administrative procedures.
Order office supplies and research vendors and pricing opportunities.
Maintain company contact lists and office records.
Coordinate business travel arrangements.
Submit and reconcile expense reports.
Provide administrative support to office visitors.
Serve as the primary point of contact for internal and external clients.
Support executive and senior administrative staff by responding to requests and inquiries from leadership.
COMPENSATION
$50,000-$70,000 annual salary

Requirements

JOB REQUIREMENTS
Previous construction industry experience REQUIRED
Proven experience as an Administrative Assistant, Office Administrator, or Virtual Assistant REQUIRED
Knowledge of office management systems and administrative procedures REQUIRED
Working knowledge of office equipment including printers and fax machines REQUIRED
Proficiency with Microsoft Outlook, Microsoft Excel, and Microsoft Word REQUIRED
Excellent time-management and organizational skills REQUIRED
Strong ability to prioritize multiple responsibilities and deadlines REQUIRED
Excellent attention to detail and problem-solving skills REQUIRED
Strong written and verbal communication skills REQUIRED
Ability to effectively multitask in a fast-paced office environment REQUIRED

High School diploma REQUIRED
