The Personal Property Tax Technician provides frontline support in the assessment and administration of vehicle personal property taxes for City residents and businesses.
This role focuses on responding to customer tickets and inquiries, researching routine account issues, entering and updating assessment information, and processing standard documentation in accordance with established procedures. The Technician serves as an initial point of contact for taxpayers, helping ensure accurate records, timely updates, and consistent customer service. Duties include but are not limited to Taxpayer Customer Service & Ticket Support Respond to taxpayer inquiries received in-person at the front counter or electronically via the online ticket system, and other communication channels.
Provide courteous and accurate information regarding personal property tax processes, deadlines, penalties/interest, and required documentation. Research taxpayer accounts, verify basic information, and resolve routine issues following established guidelines. Document all customer interactions, actions taken, and follow-up needs in the ticketing system.
Route or escalate complex inquiries, compliance concerns, or sensitive matters. Program Administration Support Assist with routine valuation and assessment entry using approved pricing guides and system-generated values. Verify residency, ownership dates, and other key data using DMV records, taxpayer-provided documentation, and system reports.
Process standard updates such as address changes, vehicle disposals, new registrations, and basic corrections. Prepare and issue routine notices, requests for information, and documentation follow-up. Support team by gathering information and documentation needed for abatement reviews, supplements, or complex assessments.
Data Management & Quality Control Enter, verify, and update personal property vehicle information in electronic systems with a high level of accuracy. Perform routine quality checks to identify discrepancies or missing documentation and refer issues as necessary. Maintain organized electronic and physical files: scan, upload, sort, and file documents according to departmental procedures.
Support records maintenance activities, including retention reviews, file updates, and preparation for shredding of obsolete documents under Finance guidelines. Compliance & Process Support Conduct routine compliance checks to confirm registration status, filing requirements, and tax liability. Protect confidential taxpayer information and follow all privacy and records-management laws and processes.
Stay current on procedural updates, relevant ordinances, and regulatory changes affecting personal property tax administration. Suggest improvements to workflows that enhance accuracy, efficiency, or customer experience. Assist with staff training on system use, documentation requirements, and customer service practices when requested.
