Compensation: $25-$30 per hour | Overtime after 40 hours

Location: Hudson, WI

Schedule: Full Time | Monday–Friday, 7:30 AM–5:00 PM | Rotating Saturdays, 8:00 AM–12:00 PM

Tri-State Bobcat, a premier compact equipment dealer with over 40 years of excellence, is growing and expanding our Hudson, WI location - and we're adding to our team. We are seeking a Rental & Operations Coordinator to support rental operations and deliver an outstanding customer experience.

In this role, you will work closely with the Service/Rental Manager and Location General Manager to support daily rental activities, equipment logistics, and customer communication. While primarily focused on rental operations, this position also serves as backup support for the service and parts departments as needed.

The ideal candidate is organized, customer-focused, mechanically inclined, and comfortable working in a fast-paced environment where priorities can shift throughout the day.

Essential Functions

Rental Responsibilities (Primary)

  • Assist customers with rental inquiries, equipment selection, and rental recommendations
  • Prepare rental quotes, contracts, and related documentation accurately and efficiently
  • Clearly communicate rental policies, terms, safety requirements, and equipment operation instructions
  • Coordinate equipment availability, scheduling, pickups, and returns
  • Inspect equipment before and after rentals
  • Assist with loading and unloading equipment as needed
  • Submit service requests for returned equipment requiring maintenance or repair
  • Maintain accurate rental records and documentation
  • Help keep the rental yard organized, clean, and safe
  • Stay current on equipment features and new products through vendor and internal training

Service & Parts Support (Secondary / Backup)

  • Assist with customer communication regarding service repairs and status updates
  • Support service work order intake and scheduling as needed
  • Help coordinate internal service and rental preparation needs
  • Assist parts and service teams during busy periods or coverage needs
  • Maintain organized work areas and support overall branch operations

Minimum Qualifications

  • At least 2 years of experience in equipment rental, service, parts, or related operations
  • High school diploma or equivalent 
  • Strong mechanical aptitude and understanding of equipment functionality
  • Excellent customer service and communication skills
  • Strong organizational skills with high attention to detail
  • Ability to multitask and prioritize effectively in a fast-paced environment
  • Basic computer proficiency, including Microsoft Office (Word, Excel, Outlook)
  • Experience with CDK/IntelliDealer is a plus
  • Ability to safely operate equipment preferred
