Work EnvironmentAssists with daily rental operations, guest communication, and bookingsOversees entire property, handles maintenance, leasing, and tenant relations
Employer & IndustryVacation rental companies, hospitality industryReal estate firms, property management companies

While both roles involve managing rental properties, a Vacation Rental Assistant primarily supports daily operations and guest interactions, whereas a Property Manager oversees the entire property, including maintenance and tenant relations. The assistant role is more focused on hospitality tasks, making it ideal for those starting in the industry or seeking administrative experience.

What does a vacation rental assistant do?

A Vacation Rental Assistant supports property owners or managers by handling day-to-day tasks related to vacation rental properties. Their duties often include communicating with guests, coordinating check-ins and check-outs, managing bookings, and overseeing cleaning and maintenance schedules. This role ensures guests have a smooth experience and that the property is well-maintained. Vacation Rental Assistants may also help with marketing the property and responding to guest inquiries promptly.

What are the key skills and qualifications needed to thrive as a vacation rental assistant, and why are they important?

To thrive as a Vacation Rental Assistant, you need strong organizational skills, attention to detail, and experience in hospitality or property management. Familiarity with property management systems (PMS), online booking platforms like Airbnb or VRBO, and basic maintenance tools are often required. Excellent communication, customer service orientation, and problem-solving abilities help you stand out in this role. These skills ensure smooth operations, satisfied guests, and positive reviews, which are crucial for business success in the vacation rental industry.

What are some common challenges faced by vacation rental assistants, and how can they be managed effectively?

Vacation Rental Assistants often juggle multiple responsibilities, such as coordinating guest check-ins, handling last-minute maintenance requests, and ensuring properties are cleaned and ready on time. One of the main challenges is managing unexpected issues, like scheduling conflicts or guest concerns, while maintaining a positive guest experience. Staying organized, communicating clearly with property owners and cleaning staff, and using property management tools can help streamline daily tasks and reduce stress. Building strong relationships with vendors and having backup plans in place also contribute to smoother operations.

Job description

Company Overview

Belforte Stays is a luxury short-term vacation rental design and property management company specializing in waterfront properties. Headquartered in Fort Lauderdale, Florida, the company delivers full-service, turnkey solutions that combine real estate investment strategy, elevated hospitality, and bespoke interior design.

Founded with the mission to raise industry standards, Belforte Stays focuses on transforming properties into high-performing assets while creating curated, memorable guest experiences. The company bridges the gap between luxury real estate and hospitality by offering services beyond traditional property management, including strategic design, remodeling, dynamic pricing, and full operational oversight.

Belforte Stays serves busy professionals, real estate investors, and second-home owners seeking passive income and premium asset management. Its white-glove approach ensures seamless operations, from guest communication and marketing to maintenance and revenue optimization, allowing owners to maximize returns without day-to-day involvement.

With a strong emphasis on design differentiation, the company creates distinctive, high-end spaces that stand out in competitive markets, enhancing both occupancy and guest satisfaction while reinforcing long-term property value.

Position Summary

We are seeking a detail-oriented and customer-focused Guest Experience Coordinator to support guest services and booking operations.

You will also support listing optimization, assist with operational projects, and contribute to driving repeat bookings.

This role requires a proactive, self-driven individual who can manage tasks independently while maintaining a high level of organization and responsiveness. You’ll play a key role in enhancing both the guest journey and overall listing performance.

This is a long-term, full-time opportunity for someone who wants to grow with the company and help build systems and teams as Belforte Stays expands into new markets.

What You’ll Do

Guest Communication & Reservations

  • Respond to guest inquiries via phone, email, and platforms like Airbnb and Vrbo

  • Provide accurate information on property details, availability, pricing, and amenities

  • Process reservations, modifications, and cancellations

  • Send check-in instructions and pre-stay communications

  • Handle guest questions, concerns, and special requests professionally

Listing Management & Optimization

  • Update and maintain property listings across booking platforms

  • Ensure accuracy of descriptions, photos, amenities, and pricing notes

  • Optimize listing titles and content to improve performance and conversions

  • Assist with seasonal updates and promotions

Project & Operational Support

  • Assist with onboarding new properties and system updates

  • Collaborate with internal teams on cleaning, maintenance, and operations

  • Maintain organized records of guest communication, bookings, and payments

Guest Experience & Retention

  • Conduct post-stay follow-ups to gather feedback and encourage reviews

  • Build relationships with past guests to drive repeat bookings

  • Support improvements to the overall guest journey

Marketing

  • Create and schedule social media content using tools like Canva

  • Edit photos and videos for marketing use

  • Respond to social media engagement

LTR & Real Estate Support

  • Assist with occasional long-term rental and real estate administrative tasks

Required Qualifications
  • 1+ year of experience in hospitality, reservations, or customer service (preferred)

  • Strong written and verbal communication skills

  • High attention to detail and strong organizational skills

  • Ability to multitask and prioritize in a fast-paced environment

  • Tech-savvy and comfortable learning new systems

  • Experience with short-term rental platforms (e.g., Hostaway, PriceLabs)

  • Customer-focused mindset with strong problem-solving abilities

Preferred Qualifications
  • Experience with Hostaway PMS and PriceLabs

  • Background in the short-term rental industry

  • Real estate or property management experience

  • Social media marketing experience

  • Experience with Canva

  • Guest relations experience

  • Familiarity with Google Workspace and Microsoft Office

Compensation, Benefits & More

Compensation: $19 - 21 per hour

Benefits:

  • Paid time off (PTO, sick days, vacation)

  • Flexible work schedule for the right candidate

  • Additional workplace perks

Schedule:

  • Thursday through Monday, 8:00 AM – 5:00 PM
