Administrative Assistant Summary:
The Administrative Assistant (RESCOM) supports the day-to-day operations of the Residential and Commercial business unit. This role plays a critical part in ensuring efficient office operations, job scheduling, billing, and customer communication.
Working closely with operations, sales arborists, and leadership, this position helps coordinate workflow, maintain accurate records, and support financial processes such as invoicing and accounts receivable. The ideal candidate is highly organized, detail-oriented, and able to manage multiple priorities in a fast-paced environment.
Duties/Responsibilities:
Administrative & Office Support
  • Answer and direct phone calls, emails, and internal communications
  • Maintain calendars, schedule meetings, and coordinate appointments
  • Prepare reports, correspondence, and operational documents
  • Maintain organized filing systems (electronic and physical)
Operations & Scheduling Support
  • Schedule jobs for residential and commercial operations
  • Coordinate scheduling meetings with operations teams
  • Work directly with Sales Arborists to schedule and adjust jobs
  • Ensure job schedules are accurate and updated in real time
Billing & Financial Support
  • Invoice completed jobs in a timely and accurate manner
  • Perform data entry and maintain financial records
  • Audit accounts receivable for accuracy
  • Support AR collections efforts and follow up on outstanding balances
  • Assist with new vendor setup and documentation
Data Management & Reporting
  • Enter, update, and maintain data across internal systems
  • Generate and assist with operational and financial reports
  • Ensure accuracy and integrity of company data
Collaboration & Communication
  • Partner with operations, sales, and leadership teams to support business needs
  • Provide excellent customer service to internal and external stakeholders
  • Handle sensitive and confidential information with professionalism
Qualifications
Education
  • High School Diploma or equivalent required
  • Associate's or Bachelor's degree preferred
Experience
  • 2+ years of administrative, office support, or related experience
  • Experience supporting operations, scheduling, or billing functions preferred
Skills
  • Proficiency in Microsoft Office (Word, Excel, Outlook, Teams)
  • Strong organizational and time management skills
  • Excellent written and verbal communication
  • High attention to detail and accuracy
  • Ability to multitask and prioritize in a fast-paced environment
