Contract - 3 Years

Position Overview

The Administrative assistant plays a key role in supporting large-scale utility and construction projects by providing advanced administrative, reporting, and compliance support. This position ensures smooth project operations through effective documentation management, data tracking, and communication with internal and external stakeholders. The role requires a high level of professionalism, adaptability, and the ability to thrive in a fast-paced environment while maintaining strict adherence to Company administrative, accounting, and compliance standards.


Key Responsibilities

Safety & Compliance

  • Promote and maintain a safe work environment, supporting Southern Company’s safety culture.

  • Ensure compliance with all administrative, accounting, and regulatory requirements.

  • Act as a liaison between the project team, Compliance, and HR.

Project Administration & Documentation

  • Process, track, and coordinate completion of staff timesheets and procurement card reports.

  • Organize and maintain project documentation, including change notice request forms, summary of award forms, sole source forms, and records of decision.

  • Serve as administrative owner for project S:Drive and SharePoint sites.

  • Support records retention efforts for large construction projects.

Reporting & Data Management

  • Assist in the tabulation, tracking, and development of key project statistics.

  • Prepare and distribute weekly and monthly project reports.

  • Compile, develop, and finalize extensive monthly project status PowerPoint presentations.

  • Track and manage all project correspondence to ensure proper logging and record-keeping.

Team & Operations Support

  • Serve as backup for executive administrators when required.

  • Maintain high responsiveness and professionalism in all interactions with managers, staff, and stakeholders.

  • Coordinate meetings, events, travel arrangements, and office relocations.

  • Manage office supply inventory and other general administrative duties.

  • Adapt quickly to emergent project requirements and shifting priorities.


Qualifications
  • High school diploma or equivalent; Associate or Bachelor’s degree preferred.

  • 3+ years of administrative or project coordination experience, ideally in a utilities, construction, or engineering project environment.

  • Strong proficiency in Microsoft Office Suite (Excel, PowerPoint, Word, Outlook) and SharePoint.

  • Excellent organizational, multitasking, and time management skills.

  • Strong written and verbal communication abilities.

  • Ability to work independently and collaboratively in a fast-paced, high-volume project environment.
