Job description

The Mail and Shipping Clerk handles all aspects of the mail and shipping process, as well as USPS mail services for the University. This position is responsible for receiving and processing all inbound and outbound mail, packages, and shipments. 

Position Status: Part-Time

ESSENTIAL JOB FUNCTIONS

  • Receives shipments from all carriers (FedEx, UPS, freight, etc.) and scans into the package tracking system and/or the Electronic Parcel lockers for customer pickup or delivery.
  • Sorts incoming USPS mail and loads into designated mail slots. Delivers mail and packages to individual campus departments as needed.
  • Monitors postage meter funds and notifies Mail Services & Inventory Supervisor.
  • Assist in stock management.
  • Answer the phones and inquiries related to customer issues.
  • Assumes additional responsibilities and performs special projects as needed or directed by supervisor.

 

ADDITIONAL DUTIES AND RESPONSIBILITIES  

  • When needed, reviews completed purchase requests by verifying vendor pricing, inventory and specifications of purchase requests; converts requisitions to purchase orders and places order accordingly.  Prepares stock and equipment requisitions as needed
  • When needed, submits invoices for payment by verifying receipt of product and comparing quoted pricing to PO amounts.
  • Assumes additional responsibilities and performs special projects as needed or directed.
  • Exhibits student centeredness in performance of all job duties.
  • Treats all others with respect; understands the impact of culture/background on the behavior of others; respects differences among the Life community and demonstrates inclusive behavior.

Education, Training and/or Experience

  • A High School Diploma (or equivalent)
  • Ability to gain proficiency in assorted package tracking software products and platforms

Knowledge, Skills, Abilities and Personal Characteristics

  • Able to perform duties independently with general supervision.
  • Basic math skills (addition, subtraction, multiplication and division).
  • Ability to operate standard office equipment and follow office procedures.
  • Computer skills; data entry and spreadsheet software capabilities.
  • Strong attention to detail; ability to organize work and perform duties with a high level of accuracy.
  • Effective oral and written communication skills.

Preferred Qualifications

  • An A.S. or Bachelor’s Degree
  • Prior experience in a customer service role

Physical Demands

  • Nature of work requires an ability to operate standard business office equipment.
  • Requires ability to communicate and exchange information, collects, compiles, compares, and prepares work documents, set-up and maintain work files.
  • Must be able to lift between 40 lbs individually and up to 60 lbs with assistance.
  • Other physical requirements are pushing/pulling carts weighing up to 100 lbs; retrieving and placing materials on high shelves and on floor-level shelves; standing, walking; carrying; grasping; hearing; seeing; sitting; kneeling; climbing; balancing; stooping; crouching and reaching.
