Job Summary:
The Research Financial & CTMS Analyst is a dual-role position managing the full financial lifecycle of clinical trials and serving as the System Administrator for the OnCore Clinical Trial Management System (CTMS). This role ensures accurate financial reporting, while also maintaining integrity, functionality, and user support on the OnCore software platform.
Key Responsibilities:
Financial Analysis & Management
- Maintain financial data in OnCore, including accounts receivable/payable tracking.
- Manage sponsor invoicing and collections in alignment with contract terms.
- Process sponsor payments, internal fund transfers, and participant stipends.
- Collaborate with accounting and research teams for timely financial reconciliation.
- Provide financial data to support departmental budget planning and forecasting.
- Identify and implement process improvements to enhance financial operations.
CTMS Administration (OnCore)
- Build and configure clinical trial protocols, calendars, and budgets in OnCore.
- Manage financial consoles and coverage analysis workflows within the system.
- Coordinate, test, and implement software updates, patches, and system enhancements.
- Administer user accounts, roles, and permissions to ensure secure access.
- Provide onboarding, training, and ongoing support for OnCore users.
- Lead and support implementation of new OnCore system interfaces and functionalities.
- Monitor and troubleshoot Retrieve Process for Execution (RPE) interface errors between OnCore and Epic EHR.
- Collaborate with IT and vendor teams to resolve integration issues and optimize data flow.
- Conduct regular audits to ensure billing accuracy and protocol compliance.
Education:
Required:
Bachelor's Degree in computer science (or related program), or equivalent combination of education and related experience.
Experience:
Required:
Three years related experience in data analytics, including report design, analysis and reporting. Experience should demonstrate thorough knowledge of SQL and relational and hierarchical database applications.

Required:
Certification in EPIC Caboodle Data Model/Clarity Data Model. If not certified at time of hire, must attend and successfully complete EPIC education program within 120 days of hire, resulting in EPIC certification. Must maintain same as required.
Department Position Summary:
The Research Financial & CTMS Analyst reports to the Director Clinical Research Operations. The incumbent supports the enterprise-wide clinical research analytical data reporting needs through the use of OnCore Clinical Trial Management and Epic Caboodle/Clarity applications. Receives requests for information from research physicians inside the research department. Clarifies need and develops statistical analysis plan, developing specifications and designing report format, which may be narrative, graphic and/or statistical. Gathers information and data from various databases and other sources of relevant detail to prepare, analyze and produce regular and ad hoc statistical, financial and clinical reports. Distributes reports and data in a timely manner to the relevant users and ensures that the reports are properly interpreted. Ensures accuracy, reliability, consistency and completeness of all documents prior to distribution. Researches problems and solutions and assists others in trouble shooting, analysis and support. Provides training on use of research data reporting and analysis tools to users as appropriate. Maintain financial data in OnCore, including accounts receivable/payable tracking.
