Executive Administrator - Marketing Digital and Strategy

What You'll Do

Provide administrative support to the Senior Vice President (SVP) Marketing & Strategy while maintaining a strong one-on-one working relationship. The role requires exceptional organizational, communication, and problem-solving skills to manage complex schedules, coordinate strategic meetings, and support business operations.

Core Contributions

  • Executive Support
    • Provides direct administrative and operational support to the SVP maintaining a one-on-one working relationship & trusted partnership.
    • Proactively anticipate the needs of senior leadership and provide timely support for internal and external meetings and engagements.
    • Align with Leadership on weekly priorities and support execution of business and people initiatives.
  • Calendar & Meeting Management
    • Manage complex executive calendars and prioritize scheduling across multiple time zones.
    • Strategically coordinate meetings, ensuring clear objectives and efficient use of leadership time.
    • Prepare agendas, presentations, reports, and other meeting materials for leadership, business meetings, and Board/Board Committee sessions.
  • Communication & Confidentiality
    • Handle highly confidential communications with integrity, discretion, and political awareness.
    • Serve as a key point of contact between the Marketing, Strategy, & Digital Leadership teams, executive assistants, Board members/volunteers, and other stakeholders.
    • Communicate clearly, professionally, and effectively across all levels of the organization.
  • Operational & Project Support
    • Support Marketing, Strategy, & Digital strategic priorities by coordinating projects, conducting research, collecting data, and consolidating reports for leadership review.
    • Assist with departmental operations, including team event coordination, daily Newsday compilation, and execution of additional team requests.
    • Manage special projects while balancing executive support responsibilities.
    • Exercise initiative in resolving issues and managing ambiguous tasks with minimal oversight.
  • Event & Logistics Coordination
    • Organize team events, off-sites, and team-building activities, including managing logistics and coordination.
    • Arrange executive travel and manage expenses, including corporate credit card reconciliation, reimbursements, and system approvals.
  • Problem Solving & Decision Making
    • Respond with urgency to time-sensitive situations and act even when full context is not available.
    • Demonstrate strong organizational skills and the ability to resolve scheduling conflicts and overlapping commitments.
    • Protect executive time and ensure alignment with shifting priorities.
  • Collaboration & Relationship Management
    • Build strong working relationships with senior leadership, executive assistants, business operations teams, and key partners.
    • Act as a collaborative team player who supports organizational efficiency and effectiveness.
    • Provide back-up support in the absence of other administrative support colleagues.

Assets You Will Bring

  • Associate's degree required or equivalent experience. Field of Study: Business Administration, Management, Communications, or related field.
  • 4-6 years of experience supporting senior executives or leadership teams in an administrative or executive assistant capacity.
  • Computer Skills: Highly Proficient in Microsoft Office (Excel, PowerPoint, Word, Teams, Outlook).
  • Advanced calendar and executive schedule management.
  • Strategic thinking and prioritization.
  • Confidentiality and executive discretion.
  • Strong communication and interpersonal skills.
  • Problem-solving and decision-making abilities.
  • Project coordination and operational support.
  • Event planning and logistics management.
  • Ability to manage multiple priorities in a fast-paced environment.

The estimated salary for this role is $35.92 to $43.11 per hour.
