Summary of Job Duties:Administrative Specialist II for Registrar's Office works under the supervision of the Registrar and is responsible for providing clerical support to supervisory and professional staff.
CURRENT JOB DUTIES INCLUDE BUT ARE NOT LIMITED TO:
*Works cooperatively with campus faculty, staff, and students to fulfill the Mission of the College.
*Contributes to student success through delivery of quality customer service in all aspects of the student records.
*Ensures security, confidentiality, and safety of student records, in compliance with the Family Educational Rights and Privacy Act (FERPA).
*Responsible for front office duties: answering the main telephone line; greeting students, faculty, staff and visitors; processing transcript requests and student enrollment verification forms.
*Reviews, maintains, scans, and indexes documents generated by the Registrar's Office into electronic filing system.
*Develop and perform quality checks on storage of student data to ensure accuracy and efficiency of scanned documents. (Update all FERPA forms that expire each July 31st and change to "Inactive".
*Processes student name change forms, update names in Docubase, and forward information to the appropriate offices.
*Orders office supplies for the Registrar's Office and maintains supply inventory.
*Assists Assistant Registrar by creating graduation check files and running transcripts for the graduation checkout process.
*Assists in assigning and removing student holds, as assigned by the Registrar.
*Corrects and maintains a procedure's manual for front office operations in the Registrar's Office.
*Works each Grad Fair, Grad Fest and Commencement Ceremony, and helps distribute graduation awards to students by mail or in person.
*Helps with providing training and/or guidance for extra labor and work-study positions.
*Upon acceptance, pulls new and readmitted student information from the admissions module to the registration module, adding an excepted date, notifying Academic Advising for student's entry into Appointment Plus system, and coding their initial residency in preparation for enrollment.
*Performs other duties as assigned.

*Able to problem solve, organize and prioritize work, multi-task, and be flexible and accepting of change.

MINIMUM QUALIFICATIONS:

  • The formal education equivalent of a high school diploma

  • Two years of specialized training in general office work, including one year of records management, student registration or related area.

Some or all of these minimum requirements may be substituted with other job-related experience and/or education upon approval of the Chancellor.
