Job description

Job Summary

We are seeking a highly organized and customer-focused Customer Service Representative / Administrative Assistant to join our team. You will be the first point of contact for our customers—including park districts, schools, and athletic directors— ensuring they have a seamless experience from initial inquiry to final delivery. In addition to customer support, you will handle vital administrative duties to keep our sales and fulfillment operations running smoothly.

Daily Tasks & Responsibilities

Customer Service:

Inbound Communication: Answer inbound web inquiries, incoming calls (via our 800 number), respond to customer emails promptly and professionally.

Product Expertise: Educate customers on our product lines (Premier Fence, FastFold, Economy) and help them choose the right mounting options (turf baseplates, grass anchors, etc.) and dimensions for their specific venue.

Order Processing: create accurate price quotes Intake and process customer orders and send out invoices.

Special Accounts Handling: Assist customers with submitting requisite paperwork for bids and processing tax-exempt documentation.

Order Tracking & Fulfillment: Coordinate with our production department to provide customers with accurate freight quotes, shipping updates, and tracking information for large freight deliveries.

Issue Resolution: Handle any post-sale inquiries, such as troubleshooting installation questions, processing returns, or ordering replacement parts (e.g., new fence mesh, zip ties, or hardware).

Administrative Support:

Data Entry & CRM Management: Maintain accurate and up-to-date customer records, order histories, and lead information in our database.

Sales Support: Assist the sales team and ownership with administrative tasks, drafting correspondence, and following up on pending quotes.

Inventory Tracking: Help monitor inventory levels of fencing frames, mesh rolls, top pads, and hardware to communicate accurate lead times to customers.

General Office Duties: Manage daily administrative tasks such as filing, organizing digital folders, and preparing reports as needed.

Qualifications & Skills

Experience: 1–3 years of experience in customer service, administrative support, or order processing (experience in manufacturing, sporting goods, or B2B sales is a strong plus).

Communication: Excellent verbal and written communication skills with a friendly, professional telephone etiquette.

Tech-Savvy: Proficiency in Microsoft Office Suite (Word, Excel, Outlook), Google Workspace and comfortable learning new CRM/order management software.

Attention to Detail: High accuracy in data entry, order processing, and drafting quotes.

Problem Solver: Ability to think on your feet, handle logistical challenges (like freight shipping delays), and ensure customer satisfaction.

Self-Starter: Ability to multitask and prioritize daily responsibilities in a fast-paced small business environment.
