Summary
The Trust Operations Assistant Manager is responsible for assisting the leading the day-to-day operational functions of the Trust Department while ensuring exceptional client service, regulatory compliance, operational efficiency, and risk management. This position oversees trust operations, account administration support, workflow management, and systems utilization. The Operations Assistant Manager works closely with the Trust Operations Manager, Trust Operations Team Members, Trust Officers, Investment Officers, Compliance, Risk Management, and Department Leadership to ensure the department operates efficiently and in accordance with fiduciary standards and applicable laws and regulations.
As part of the Somerset Trust Team, it is expected of employees to provide high quality customer service to all internal and external customers and positively collaborate with all team members both within the department and within other areas of the bank.
Essential Duties and Responsibilities
• Operational Leadership: Assist Operations Manager to manage daily operations; improve workflows; monitor productivity; implement controls.
• Trust Administration Support: Oversee account setup, maintenance, transfers, distributions, fee processing, tax reporting coordination, and recordkeeping.
• Compliance and Risk Management: Work with Operations Manager and Innovation and Quality Assurance Officer to ensure procedures and process are compliant and mitigate risk.
• Staff Leadership: Supervise, mentor, evaluate, train, and develop Trust Operations staff along with the Trust Operations Manager
• Technology and Systems Management: Oversee trust systems, upgrades, testing, data integrity, and reporting.
• Client Service: Support Trust Officers and resolve operational issues while maintaining confidentiality.
• Understand and support all BSA/AML responsibilities as applicable to the position as well as consistently, accurately, and timely carry out these responsibilities in compliance with the Bank's internal policies
• Perform other related work and duties as assigned
Education and/or Experience
• Bachelor's degree preferred; 5-10 years of trust/banking operations experience; 3+ years supervisory experience. ATOP (Accredited Trust Operations Professional), CTOP (Certified Trust Operations Professional) preferred.
TECHNICAL SKILLS
• Experience using a Trust Accounting System and/or core banking system is preferred, but not required.
• Proficient in using Microsoft Office products including Word, Excel, Outlook
• Must be willing to learn new systems and adapt to emerging technologies
LANGUAGE SKILLS
• Ability to read interpret documents such as procedure manuals and release notes
• Ability to write business correspondence, procedures and policies using proper grammar and accurate spelling
MATHEMATICAL SKILLS
• Understanding of Trust Accounting
• Ability to assist with any computations related to stock splits, distributions in-kind, and investment trading
• Ability to calculate figures and amounts such as discounts, interest, commissions, bonuses, etc. using a calculator.
REASONING ABILITY
• Operational Accuracy
• Ability to apply common sense, understanding to carry out instructions furnished in written, oral or diagram form.
• Ability to deal with problems involving several concrete variables in standardized situations. Organizational priority setting, and decision-making skills are also required.
PHYSCIAL DEMANDS
  • While performing the duties of this job, the employee is required to use hands and fingers to operate office equipment, telephones, etc.
  • The employee must occasionally lift and/or move up to 25 pounds
  • Specific vision abilities required by this job include close vision, and ability to adjust focus
