Warranty Administrator, Decatur, IL

We’re looking for a Warranty Administrator who thrives on organization, problem-solving, and teamwork to help ensure every eligible warranty dollar is recovered and every claim is handled with excellence.


The Warranty Administrator is responsible for managing the dealership’s warranty claim submission and recovery process, ensuring accurate documentation, timely claim processing, and maximum recovery of eligible warranty costs from OEMs and vendors. This position works closely with service, parts, accounting, manufacturers, vendors, and internal teams to identify warranty opportunities, resolve claim issues, and ensure compliance with warranty guidelines. The ideal candidate will have strong analytical, communication, negotiation, and problem-solving skills, along with the ability to build effective relationships and support overall dealership goals.

Hourly wage range: $23-$35/hr. with final compensation determined by an individual’s skills, certifications, education, and years of experience.

  • Opportunity to earn commission based on performance

Work Hours: 7:00 am - 5:00 pm; Monday - Friday

Conditions of Employment: Employment is contingent upon the successful completion of a background check, motor vehicle record (MVR) review, drug screening, and physical examination, where applicable and consistent with the requirements of the position.

What You’ll Be Doing

  • Manage the warranty claim process from submission through recovery, ensuring accurate, timely, and compliant claims while maximizing reimbursement opportunities.
  • Review repair documentation, identify warranty opportunities, and coordinate with OEMs, vendors, service teams, and internal departments to resolve issues.
  • Maintain warranty documentation, failed parts, cores, and supporting materials in accordance with requirements.
  • Monitor warranty performance, reconcile recoveries and payments, and provide reporting to support department goals.
  • Process extended service contract claims while maintaining knowledge of OEM guidelines, warranty policies, and dealership procedures.
  • Build strong relationships through effective communication, collaboration, and problem-solving with customers, vendors, and internal teams.
  • Perform other duties as assigned to support dealership success.

What Makes You a Great Fit

  • High school diploma and/or GED required.
  • Minimum of five (5) years of experience in the Class 8 trucking industry, preferably in warranty administration.
  • Strong knowledge of Class 8 trucks, diesel engines, components, and warranty processes. Heavy-duty truck repair experience or equivalent technical knowledge is a plus.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and ability to learn dealership software and systems.
  • Strong organizational skills with attention to detail and the ability to manage multiple priorities.
  • Excellent communication, customer service, and relationship-building skills with the ability to work effectively with customers, vendors, manufacturers, and internal teams.
  • Ability to review and interpret repair orders, technical documentation, warranty policies, and related information.
  • Strong analytical, problem-solving, and decision-making skills with the ability to prepare reports and support departmental goals.
