Summary
A growing logistics company is seeking a Customer Service Representative to join its Transloading Department. This is a primarily office-based position responsible for coordinating documentation, customer communication, and shipment activities for ocean import cargo moving through the company's transloading operations. Working directly with the Transloading Customer Service Manager, the role collaborates closely with warehouses, trucking companies, customs brokers, and internal teams to ensure cargo is processed accurately and delivered on schedule. While based in an office within the warehouse facility, occasional operational support may be required.
Responsibilities
  • Serve as the primary point of contact for assigned customer accounts regarding transloading operations for ocean import shipments.
  • Coordinate inbound and outbound shipments with customers, warehouses, trucking companies, customs brokers, and internal teams.
  • Schedule cargo pick-ups and deliveries to meet customer requirements.
  • Monitor shipment status and proactively communicate shipment updates, delays, and issues.
  • Prepare, review, and process shipping documents, including Bills of Lading (B/L), Delivery Orders, Arrival Notices, and other logistics documentation.
  • Ensure shipment records and documentation are complete and accurate.
  • Work closely with warehouse personnel to coordinate inventory movements and transloading activities.
  • Assist with billing documentation and invoice preparation.
  • Investigate shipment discrepancies, shortages, damages, or delays and coordinate resolutions with customers and service providers.
  • Respond promptly to customer inquiries by phone and email.
  • Prepare reports requested by customers or management.
  • Maintain organized shipment files and customer records.
  • Provide occasional operational support to warehouse personnel as needed.
  • Perform other duties as assigned.
Requirements
Experience
  • Minimum 2 years of Ocean Import experience required.
  • Experience in freight forwarding or logistics operations is preferred.
Skills
  • Strong customer service mindset with excellent communication skills.
  • Excellent verbal and written communication skills in English.
  • Proficiency in Microsoft Outlook and basic Microsoft Excel.
  • Strong organizational and multitasking abilities.
  • Ability to work independently and as part of a team.
  • Comfortable working in an office located within a warehouse environment.
  • Detail-oriented with strong problem-solving skills.
  • Willingness to learn the company's systems and operational procedures.
