Project Coordinator (Construction)
Davenport, IA | Full-Time | Electrical Construction
River Cities Engineering is seeking a detail-oriented Project Coordinator to coordinate project documentation, communication, and administrative activities that support successful execution of electrical construction projects throughout the project lifecycle. The incumbent will maintain project information, manage documentation, coordinate routine project and field-related activities, and complete project administrative tasks in an efficient, accurate, and consistent manner across all RCE projects.
The Project Coordinator performs routine project administration and coordination activities with moderate independence and seeks guidance from Project Manager(s) on complex or project-critical tasks.
This role is ideal for someone who enjoys coordinating multiple activities, managing documentation, facilitating communication between project stakeholders, and proactively keeping projects organized and on track.
Essential Duties
  • Support project setup activities in project management and accounting software systems.
  • Coordinate, track, maintain and distribute project documentation throughout the project lifecycle, including RFIs, exhibits, drawings, specifications, addenda, contract completion, change orders (CO), closeout documentation, project control records, and other related documentation ensuring accurate filing, distribution, and maintenance within project and document management systems.
  • Coordinate the submittal process, including requesting, receiving, processing, tracking, and uploading submittals and related documentation into project management systems.
  • Prepare and maintain project reports, logs, correspondence, and WIP reports for active projects.
  • Assist with invoice review and billing preparation activities.
  • Maintain accurate and up-to-date project records in Rivet, including manpower data and other project information, escalating discrepancies or project-critical issues as needed.
  • Support coordination among Project Managers, field teams, foremen, project supervisors, vendors, and other stakeholders by facilitating communication, maintaining project contact information, and promoting effective information flow throughout the project lifecycle.
  • Support formal project meetings. Coordinate scheduling, prepare correspondence and reports, attend meetings, and maintain documentation for turnover, preconstruction, review, WIP, closeout, and other required activities.
  • Coordinate vendor orders, rentals, deliveries, and site access needs in accordance with project requirements and established procedures.
  • Coordinate and track material, equipment orders, permits, and inspections, proactively communicating status updates, delays, and potential issues as appropriate.
  • Track and maintain current insurance certificates, bonds, certified payroll records, safety documentation, and other compliance-related documents to support project and contractual requirements.
  • Coordinate and support project closeout processes, ensuring required closeout documentation is organized, complete, and submitted in a timely manner.
  • Communicate and collaborate professionally with Project Managers, field personnel, subcontractors, vendors, customers, coworkers, and other project stakeholders to support successful project outcomes.
  • Understand and apply all job-related instructions, training materials, and technical documents, which are provided in English. Use of agreed-upon translation methods or accommodation may be permitted to ensure safe and effective job performance.
  • Represent the company in a positive and professional manner. Maintain a professional appearance and comply with company dress, grooming, hygiene, and safety standards.
  • Perform other duties as assigned.

Physical Demands & Working Conditions
  • Ability to use standard office equipment, including computers, printers, telephones, and mobile devices.
  • Ability to sit, stand, walk, and move throughout office and jobsite environments for extended periods.
  • Ability to occasionally lift and carry up to 25 pounds, with or without reasonable accommodation.
  • Ability to work overtime as needed.
  • Limited travel may be required.

Job Qualifications
  • Valid driver's license and ability to travel to project sites and other business locations as needed.
  • Proficiency with Microsoft Office applications, including Outlook, Word, Excel, and Teams.
  • Able to accurately obtain, upload, organize, and maintain project drawings, specifications, and related documentation following established procedures and processes.
  • Possess strong communication skills with a high level of professionalism, customer service, and tact.
  • Able to organize and prioritize multiple tasks, manage competing deadlines in a fast-paced environment, and maintain a high degree of accuracy and attention to detail.
  • Able to work independently on routine administrative and project coordination tasks in a fast-paced environment, appropriately seeking guidance for complex, non-routine, or project-critical matters.
  • Able to maintain confidentiality and handle sensitive project information appropriately.
  • Position requires full-time onsite work at the Davenport location with occasional visits to jobsites.

Qualifications
Required
  • High school diploma or GED.
  • 1-2 years of experience in project coordination, construction administration, or a related field required.
  • Valid driver's license and ability to travel to project sites and other business locations as needed.
  • Proficiency with Microsoft Office (Outlook, Word, Excel, and Teams).
  • Ability to work independently, manage multiple priorities, meet deadlines, proactively follow through on assigned responsibilities, and maintain a high degree of accuracy and attention to detail in a fast-paced environment.
  • Strong communication and interpersonal skills with a professional and customer-focused approach.

Preferred
  • Experience with project management software and document management systems.
  • Associate degree in Construction Management, Business Administration, Engineering Technology, or a related field.

Education and Experience
  • High school diploma or GED required. Associate's degree in construction management, business administration, engineering technology, or a related field preferred.
  • 1-2 years of experience in project or construction coordination/administration, industrial electrical construction, or a related field required.
  • Experience with project management software and document management systems preferred.
