Senior Living Move-In Coordinator & Community Market SpecialistPosition Overview

Our luxury Senior Living Community is seeking a warm, highly organized, and relationship-focused Move-In Coordinator & Community Market Specialist to support our growing community.

This position is responsible for creating a seamless and exceptional experience for prospective residents and their families from the initial inquiry through move-in and beyond. The role will also focus on developing strong community resources and support move-in process.

Must be flexible, highly organized, proactive, and passionate about senior living, with excellent follow-up skills and a genuine commitment to providing outstanding customer service.

Key Responsibilities

Move-In Coordination

  • Coordinate the resident move-in process from deposit through move-in day.

  • Serve as a key point of contact for prospective residents and families throughout the transition process.

  • Maintain consistent communication and follow-up with residents and families to ensure a smooth and positive experience.

  • Coordinate move-in schedules, apartment readiness, deliveries, furniture placement, transportation, and special requests.

  • Collaborate with Housekeeping, Maintenance, Dining, Life Enrichment, Wellness, and other departments to ensure apartments and services are prepared before arrival.

  • Ensure all necessary move-in paperwork and documentation are completed accurately and on time.

  • Coordinate welcome materials and personalized touches for each new resident.

  • Ensure residents and families receive a warm, professional, and personalized welcome on move-in day.

  • Conduct post-move-in follow-up to ensure resident and family satisfaction.

  • Identify and communicate any concerns or service needs to the appropriate department.

  • Maintain accurate move-in calendars, tracking reports, prospect information, and follow-up records.

Community Marketing & Market Development
  • Develop and maintain relationships with local senior organizations, businesses, healthcare professionals, professional service providers, churches, civic organizations, and other community resources.

  • Identify new opportunities to increase awareness of the community within the local senior living market.

  • Build and maintain a strong network of referral and community partners.

  • Participate in networking events, senior fairs, community events, educational programs, and professional meetings.

  • Represent the community with professionalism, enthusiasm, and a luxury hospitality mindset.

  • Assist with planning and coordinating community events, open houses, resident events, educational programs, and marketing activities.

  • Create opportunities to introduce prospective residents, families, and professional partners to the community.

  • Maintain regular contact and follow-up with referral sources and community partners.

  • Track outreach activity, referrals, tours, prospects, deposits, and move-ins.

  • Provide regular updates regarding market activity, community relationships, and prospective resident activity.

Sales & Prospect Follow-Up
  • Respond promptly and professionally to inquiries from prospective residents and families.

  • Assist with scheduling and conducting community tours.

  • Provide an engaging and informative introduction to the community, lifestyle, amenities, services, and programs.

  • Maintain timely and consistent follow-up with all prospects and families.

  • Assist the Sales/Marketing team in moving prospects through the decision-making process.

  • Maintain accurate prospect records and follow-up activities.

  • Communicate prospect needs, preferences, and concerns to the appropriate team members.

  • Support the sales team with deposits, move-in preparation, appointments, events, and other activities that support occupancy.

  • Ensure every prospective resident receives a personalized and memorable experience.

Customer Service & Resident Experience
  • Deliver exceptional customer service to prospective residents, current residents, families, and guests.

  • Create a welcoming, professional, and personalized experience that reflects the standards of a luxury senior living community.

  • Build trusting relationships with residents and families.

  • Respond to questions and concerns promptly and professionally.

  • Maintain confidentiality and professionalism when handling resident and family information.

  • Work collaboratively with all departments to ensure an outstanding resident experience.

  • Demonstrate empathy, patience, and genuine interest in the needs and preferences of seniors and their families.

Qualifications & Experience
  • Minimum of 2 years of experience in senior living, hospitality, sales, marketing, customer service, or a related field.

  • Senior living or Independent Living experience preferred.

  • Experience with move-in coordination, senior living sales, community outreach, or referral development strongly preferred.

  • Excellent verbal and written communication skills.

  • Exceptional follow-up skills are required.

  • Strong organizational and time-management abilities.

  • Excellent customer service and relationship-building skills.

  • Ability to manage multiple priorities and meet deadlines.

  • Professional, polished, and welcoming demeanor.

  • Comfortable networking and developing relationships throughout the local community.

  • Strong attention to detail and ability to follow through on commitments.

  • Comfortable working independently and as part of a team.

  • Proficiency with Microsoft Office and CRM or customer tracking systems preferred.

Work Environment

This position works primarily within a luxury Senior Living Community and requires regular interaction with residents, families, prospective residents, guests, vendors, and community partners.

The position may require:

  • Walking throughout the community and visiting various resident and common areas.

  • Participation in community events and off-site networking activities.

  • Occasional evening or weekend availability for special events or resident activities.

  • Flexibility to respond to changing community and resident needs.

  • Extended periods of computer and telephone use.
