Job description

SUMMARY: The Transit Data Entry Clerk is responsible for accurately entering, maintaining, and organizing transit records and data. This position supports the daily operations of the transit program by ensuring all passenger trips, driver logs, vehicle information, mileage, maintenance records, and reporting requirements are completed accurately and on time.


ESSENTIAL DUTIES and/or RESPONSIBILITIES include the following:

  • Enter daily passenger trip information into the transit database.
  • Record driver logs, mileage, fuel usage, and vehicle inspections.
  • Maintain accurate records for dispatch, scheduling, and ridership reports.
  • Verify data for accuracy and correct errors as needed.
  • File and organize paper and electronic transit records.
  • Assist with maintaining vehicle maintenance and repair records.
  • Maintain confidentiality of passenger and employee information.
  • Answer phones and assist customers with general transit inquiries when needed.
  • Assist the Transit Coordinator with administrative tasks and special projects.
  • Perform other duties as assigned.
  • Occasional evening or weekend work may be required for special events or reporting deadlines.

QUALIFICATION REQUIREMENTS: To perform this job successfully, an individual must be able to perform each duty satisfactorily. The requirements listed below are representative of the knowledge, skill and/or ability required. EDUCATION and/or EXPERIENCE:

  • High school diploma or GED required.
  • Experience with data entry, office administration, or clerical work preferred.
  • Proficiency in Microsoft Office (Excel, Word, Outlook).
  • Experience working in public transportation, tribal government, or grant-funded programs.
  • Knowledge of federal and state transit reporting requirements.
  • Familiarity with scheduling or dispatch software.

Physical Requirements:

  • Ability to sit for extended periods while using a computer.
  • Occasionally lift up to 25 pounds.
  • Ability to bend, reach, and file documents.
  • Accurate typing and data entry skills.
  • Basic mathematical and recordkeeping skills.
  • Ability to prioritize multiple tasks and meet deadlines.
  • Strong customer service skills.
  • Ability to identify and correct data discrepancies.
  • Knowledge of office equipment such as computers, printers, scanners, and copiers.

CERTIFICATES, LICENSES, and/or REGISTRATIONS:

  • Must pass background check, physical and pre-employment drug screen.

  • Ability to learn transit software and database systems.
