Osborne has officially opened its first temporary transitional housing assistance and reentry program, The Fulton Community Reentry Center (Fulton). Fulton provides 140 beds of transitional reentry housing to formerly incarcerated men who would otherwise be homeless after discharge from a correctional facility. Fulton also provides onsite reentry services, including case management, benefits enrollment, employment, health, and workforce development. The facility operates 365 days on a 24-hour basis daily, including evening and weekend hours.


We currently seek a Part-Time Program Assistant to join our Fulton Community Reentry Center team! The Program Assistant will serve as the first point of contact for Fulton Community Reentry Center. They will be responsible for offering administrative support across the facility, and coordinating front-desk activities. The Program Assistant will work 9am-2pm, 3 days per week. Schedule subject to change.


Salary: $22.97 per hour

Essential Duties:

  • Greet and welcome guests as soon as they arrive.
  • Direct visitors to the appropriate place.
  • Answer, screen, and forward incoming phone calls.
  • Ensure reception area is tidy and presentable, with all necessary stationery and material (e.g. pens, forms, and brochures)
  • Update calendars and schedule meetings for shared meeting/office spaces
  • Managing conference room set-ups /breakdowns
  • Maintains daily building schedule on floor screens
  • Help maintain inventory and coordinate ordering of office supplies and equipment according to internal procedures
  • Promotes a positive image of the organization through communicating Osborne Association’s mission and programs to a variety of audiences
  • Delivers program and technical assistance to colleagues, in collaboration with other offices or agencies.
  • Coordinating interoffice mail pick-up/delivery with receptionists at other Osborne Offices including Brooklyn, Bronx, Manhattan etc.
  • Residential/Office package coordination. Enforcing OA's policy on no personal package deliveries for staff.
  • Perform other clerical duties such as filing, photocopying, transcribing, and faxing
  • Manage the driver(s) daily pick-up/drop-off requests
  • In-person attendance is required to collaborate with co-workers
  • Perform other duties as assigned
Requirements:

Minimum Qualifications:

  • High School Diploma or equivalent
  • Certification if Office Management is a plus
  • Proven work experience as a Receptionist, Front Office Representative, Assistant or similar role
  • Hands-on experience with office equipment (e.g. fax machines and printers)
  • Customer service experience

  • Must have good interpersonal skills with the ability to communicate effectively both written and oral.
  • Knowledge of community resources.
  • Ability to make sound decisions and resolve conflicts.
  • Deal calmly in crisis situations and handle multiple tasks effectively under pressure with minimum supervision

  • Strong organizational skills, detail-oriented, and efficient.
  • Proficiency in Microsoft Office Suite and Google Suite
  • Ability to be resourceful and proactive when issues arise
  • Must be able to work flexible shifts, weekends, and overtime if necessary.
