How you create impact

The Local Facility Management Coordinator is responsible for ensuring the smooth, efficient, and effective operation of multiple locations. This role oversees a wide range of administrative and facility-related functions, including managing office supplies and inventory, coordinating building maintenance and repairs, administering security badges and access controls, managing vendor relationships, and processing location-related invoices and payments. The Coordinator plays a critical role in maintaining a safe, organized, and productive work environment that supports daily business operations. Success in this position requires strong organizational, communication, problem-solving, and multitasking skills, as well as the ability to effectively prioritize competing demands. For locations managed remotely, the Local Facility Management Coordinator works closely with the respective Station Manager to coordinate facility operations, ensure alignment on local needs and priorities, and provide ongoing support to maintain operational excellence across all assigned locations.

  • Manage facility-related purchasing activities, invoices, payments, records, and vendor relationships in compliance with company policies.
  • Coordinate office operations, including supplies, inventory, workspace organization, equipment maintenance, and utility monitoring.
  • Oversee facility services and support building maintenance, repairs, and workplace improvements.
  • Administer security access, badges, CCTV and alarm system coordination, and serve as the primary contact for security service providers.
  • Partner with Station Managers, Quality, Safety, and Health(QSHE), Finance, HR, and other stakeholders to ensure effective facility operations and compliance.
  • Support emergency preparedness programs, safety initiatives, and required facility reporting.
  • Assist with office renovations, relocations, and other facility-related projects while tracking timelines and deliverables.
  • Promote a positive workplace experience through employee engagement initiatives and office events, where applicable.
  • Support onboarding activities, I-9 processing, purchase requisitions, temporary staffing coordination, and other administrative functions as required.
  • Build strong relationships with internal and external partners to ensure consistent service delivery and operational excellence across all assigned locations.
What we would like you to bring
  • Associate's degree required; Bachelor's degree preferred.
  • 1+ years of experience in office administration, facilities coordination, workplace operations, or a related field preferred.
  • Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Demonstrated ability to manage multiple priorities, work independently, and meet deadlines in a fast-paced environment.
  • Excellent organizational, time management, and problem-solving skills, with strong attention to detail.
  • Effective verbal and written communication skills, with the ability to build positive working relationships across all levels of the organization.
  • Ability to work collaboratively in a team-oriented environment while proactively addressing operational needs.
  • Responsive, dependable, and professional, with a strong commitment to customer service and workplace support.
  • Ability to maintain confidentiality and handle sensitive information with discretion.
