Job description

Regions Hospital/RHSC is looking for a Supervisor, Training Program Administration. If you're super-organized, detail-oriented, and a self-starter who has the ability to work independently and is looking for a great opportunity Regions Hospital/RHSC.

The Supervisor, Training Program Administration leads team members to support program coordination for students, residents and fellows, systems access, and payroll. This colleague is responsible for recruiting, hiring, training and fostering a culture of continuous development of team members to support trainee recruitment, onboarding, orientation, and graduation. This role works in partnership with Office of Health Professional Education leaders, education program leaders and coordinators, clinical departments, Human Resources, Information security & Technology and partner training programs.

The Supervisor, Training Program Administration is responsible for:

  • Leads colleagues who provide coordination and administrative support functions in health professional education.        

  1. Responsible for recruitment and hiring of program coordination team members.

  2. Conducts performance reviews and provides feedback on performance.

  3. Provide cross-training, coverage, and development opportunities for team members.

  4. Coach and motivate employees to achieve goals and share best practices.

  5. Assist personnel in prioritization and ensure they have necessary resources and clarity to meet and exceed expectations.

  6. Conducts colleague stay and exit interviews, proposes action plan based on results.  

  • Supervises day-to-day administrative responsibilities in the Office of Health Professional Education.

  1. Reviews and approves system access requests for trainee onboarding daily.

  2. Review and approve payroll for direct reports and sponsored trainees.

  3. Review and approve expenses for accurate accounting, and adherence to organization policies.

  4. Documents and updates best practices for onboarding trainees by type and location to align system processes and create work standards.

  5. Represents HealthPartners as a liaison in health professional education agencies, e.g. MMCGME, AHME.

  6. Serves as HealthPartners ECFMG Training Program liaison and US Department of Veterans Affairs Certifying Official for HealthPartners.

  7. Fosters community building, continuing education, assessment and convenes meetings for training program coordinators to promote efficiencies and best practice sharing. 
  8. Serves as a liaison with trainee employer groups to develop, streamline and document processes and timelines for hiring sponsored trainees.

  9. Supports training program coordinators and associates with role responsibilities and provides or determines backup support when needed.

  10. Convenes and facilitates work groups and planning teams to acknowledge and celebrate annual academic year milestones and events.

  11. Other duties as assigned.

Work schedule: FTE: 1.0 (40 hrs. weekly), Day Shift

Required Qualifications:

Education: Bachelor's degree or applicable experience to equal 6 years.

Experience: Five or more years in medical, recruitment or administrative area.

Licensure/ Registration/ Certification: None

Preferred Qualifications:

Experience: Previous experience supporting graduate health professional education and/or operations preferred. Previous leadership experience.
