Job description

Department: Over the Road Trucking

Shift: Various shifts from 5am-10pm

Reports to: Traffic Manager/Traffic Manager Assistant

Job Summary:

As a Traffic Administrative Assistant, you will be responsible for coordinating over the road pick-ups and deliveries with vendors, shippers, customers, drivers, and American Furniture Warehouse facilities. You will also be responsible for communication with drivers about any dispatching issues, breakdowns, assignments, and changes. The ideal Traffic Administrative Assistant develops strategies to improve over the road procedures, better communication between drivers, departments, and vendors as well and display analytical and forward thinking to solve problems.  

Duties/Responsibilities:

Typical duties include but are not limited to:

  • Answer calls from delivery drivers and relay any emergencies they have to the appropriate channels.
  • Booking and coordination of freight in a cost-effective manner for the company.
  • Communicate with drivers, customers, vendors, shippers, and receivers regarding changes in pick-up/delivery, potential service failures, appointments, and the pick-up/delivery of loads
  • Monitor road conditions, construction zones, and accidents to revise routes as needed
  • Maintain Federal Motor Carrier Safety Administration (FMCSA) driver log compliance
  • Track/trace shipments when requested and update vendors and locations on the status of their deliveries including any delays that occur
  • Daily monitoring of all assigned over the road routes 
  • Hours of service and progress tracking
  • Build loads for transfers, any incoming loads, 
  • Keep track of out of services tractors and trailers
  • Abide by all company policies and procedures.
  • All other duties assigned by the Traffic Manager as directed.

Compensation Package: 

Pay Rate: Starting at $20/hour and up - dependent on experience

Pay Grade C: $17.71-$32.89

Supervision Given and Received:

This position has no supervisory responsibilities. This position is supervised directly by the Traffic Manager and/or Traffic Manager Assistant. 

Required Skills/Abilities: 

  • Previous experience as a Traffic Administrative Assistant or similar role 
  • Hands on experience with McLeod, Fleet Locate and Omnitracs preferred
  • Knowledge of Federal Motor Carrier Safety Administration (FMCSA) and Department of Transportation (DOT) laws
  • Excellent verbal and written communication skills.
  • Excellent interpersonal and customer service skills.
  • Ability to maintain a congenial calm communication style and the ability to diffuse and clarify the needs of drivers to achieve clear solutions.
  • Ability to analyze, model and interpret data
  • Have strong independent follow up skills
  • Excellent organizational skill and the ability to demonstrate attention to detail, and accuracy.

Computer Skills: 

Ability to navigate multiple computer systems, type 35+ wpm, advanced familiarity with Microsoft Office Suite (Outlook, Word, PowerPoint, Excel, etc.), and advanced internet research skills. Ability to regularly use computers for ordering, communication, documentation, scheduling, maintenance of organizational content on shared drives. Ability to apply technology up to and including Electronic Logging Devices, iPads, dispatch software, and windows. Experience with McLeod Fleet Locate and Omnitracs preferred.

Certificates and Licenses: 

Certifications and licenses related to business and safety are preferred. Valid CDL License preferred. 

Education and Experience:

Two-year college or university program degree preferred; High School diploma required; equivalent combination of education and experience accepted in lieu of degree. 

Physical Demands:

  • Requires the ability to maneuver in confined and at times congested areas. 
  • Requires the ability to sit, stand, walk, stoop, & bend for 8 hours a day.
  • Requires constant use of arms, hands, fingers, eyes, legs, and back.
