JOB DESCRIPTION

Executive Assistant – Trading Floor

Location: 270 Park Ave, Ny, Ny, 10017
Pay Rate: $43/hour
Duration: 2 Months (Contract)
Schedule: Monday – Friday | 7:30 AM – 4:30 PM

Position Overview

We are seeking a highly organized and proactive Executive Assistant to support a fast-paced Investment Banking team. This role requires strong calendar management skills, excellent communication abilities, and experience handling confidential information with professionalism and discretion.

The ideal candidate thrives in a dynamic corporate environment, demonstrates strong attention to detail, and can effectively manage competing priorities.

Key Responsibilities

  • Manage complex executive calendars and scheduling
  • Screen incoming calls and manage communications
  • Coordinate meetings, including scheduling and logistics
  • Arrange travel and process expense reports in compliance with company policies (Concur experience preferred)
  • Handle visitor registration and building access coordination
  • Draft and prepare high-quality emails and correspondence for senior-level stakeholders
  • Provide backup coverage for other administrative assistants as needed
  • Support ad hoc projects and administrative tasks

Qualifications

  • Prior Executive Assistant experience in a corporate or financial services environment preferred
  • Strong calendar and time management skills
  • Excellent written and verbal communication skills
  • Experience with travel booking and expense reporting (Concur preferred)
  • Ability to work collaboratively within an administrative team
  • High level of professionalism and confidentiality
  • Strong organizational skills and attention to detail
