Position SummaryThe Account Coordinator supports the Account Management team by assisting with project coordination, quoting, documentation, and communication to ensure client needs are met accurately, efficiently, and on schedule. This role serves as a central point of connection between clients, internal departments, and production teams.Essential Duties amp; ResponsibilitiesClient amp; Team Support
  • Prepare budgets, estimates, and quotations to support the Sales and Account Management teams.
  • Communicate with clients as needed to support project requirements, timelines, and expectations.
  • Assist Account Managers with proposal content and cost justification.
Project Coordination
  • Translate project direction into clear work orders for the production team.
  • Communicate daily with production regarding updates, changes, and project details.
  • Lead and document weekly project specific meetings with key stakeholders.
  • Coordinate shipping documentation and ensure all project related materials are properly prepared and delivered.
Operational amp; Show Support
  • Develop shipping manifests and project documentation with the logistics department.
  • Prepare setup packages for onsite managers with support from engineering.
  • Complete required show forms, coordinate show services/subcontractors, and support contract execution.
  • Reconcile project expenses and assist with post show financial documentation.
  • Travel occasionally to support client activities, sales initiatives, or onsite project needs.
Qualifications amp; RequirementsEducation amp; Experience
  • Bachelor’s degree in Marketing, Business, Communications, or related field.
  • 1–2 years of experience in account coordination, customer service, or a related function.
Skills amp; Competencies
  • Strong verbal and written communication skills with the ability to interact professionally across teams and with clients.
  • Excellent organizational skills, including the ability to manage multiple priorities and deadlines.
  • Proficiency in Microsoft Office Suite and CRM tools.
  • Strong attention to detail in all aspects of work.
  • Ability to work both independently and collaboratively in a fast paced environment.
  • Effective time management, problem-solving, and follow-through.
Work Environment amp; Travel
