TRADE SHOW SPECIALIST
 
Location; Santa Clara, CA
 
JOB DESCRIPTION
 
The Trade Show Specialist supports the planning and execution of industry trade shows and events. This position provides logistical, operational, and analytical support to ensure successful event execution and positive experiences for executives, customers, partners, and employees. The role helps streamline event operations and enables senior team members to focus on strategic planning, innovation, and executive engagement.
 
KEY RESPONSIBILITIES
 

  • Manage registration processes, attendee communications, and hotel and rooming lists.
  • Coordinate vendors and suppliers for collateral, signage, apparel, demonstration materials, and other event assets.
  • Oversee shipping and logistics for booths, demonstration equipment, and on-site materials.
  • Provide on-site event support, including registration, badge scanning, catering coordination, transportation, booth setup and teardown, supply organization, and real-time troubleshooting.
  • Ensure seamless on-site execution through clear communication, proactive problem-solving, and effective coordination.
  • Coordinate catering, restaurant reservations, and event communications.
  • Support internal communications, budget tracking, and event asset management.
  • Assist with developing event collateral, presentations, and post-event recaps to communicate outcomes and successes.
  • Maintain event analytics, attendance metrics, and engagement dashboards.
  • Support post-event ROI analysis, feedback collection, and reporting to identify insights and inform future event strategies.
  • Manage post-event activities, including inventory tracking, shipment returns, and supply restocking.
  • Travel domestically and internationally as needed, up to 20%.

 
QUALIFICATIONS
 

  • 1-3 years of experience in event planning, trade shows, marketing operations, or a related field.
  • Bachelor's degree in Marketing, Communications, Business Administration, or a related field.
  • Technology or semiconductor industry experience preferred.
  • Exceptional organizational and project management skills.
  • Strong written and verbal communication skills.
  • Proficiency with Microsoft Office and the ability to learn and adapt to various event management tools.
  • Ability to multitask, prioritize responsibilities, and perform effectively under pressure in a fast-paced environment.
  • Collaborative mindset with a proactive, solutions-oriented approach.
  • Willingness to travel domestically and internationally, up to 20%.
