Operations Administrative Coordinator
Location: Virginia Beach, VA 23454
About the Role
We are seeking a highly organized and proactive Operations Administrative Coordinator to support our field data, billing, scheduling, and administrative operations. This position requires an operationally aggressive individual who can keep pace with high-volume construction and service operations.
Primary Responsibilities
- Manage field data collection and organization
- Review and compile technician and crew information
- Provide administrative support for operations leadership
- Coordinate scheduling for field teams and projects
- Support billing processes and enter job costing data
- Coordinate with project managers, field supervisors, procurement, and accounting
- Review photos, field reports, and work orders for completeness
- Maintain organized job documentation and customer communication records
- Assist with change order tracking and operational reporting
- Support payroll/timekeeping verification as needed
- Perform heavy Microsoft 365, Excel, email, and operations coordination work
Requirements
- Extremely organized and detail-oriented
- Ability to multitask effectively in a fast-paced environment
- Strong administrative and operational coordination background
- Experience in construction, property management, or service industry preferred
- Excellent communication skills with strong follow-through
- Proactive and capable of handling pressure without constant supervision
- Experience with scheduling, billing support, or dispatching strongly preferred
