Staff Accountant – Ranch & Land Entities
Location: Arcadia, FL (On-Site) | Full-Time | Reports To: Management Team


About the Organization

We are a private investment group that owns and actively manages a portfolio of ranch and agricultural real property assets in Florida. Organized across multiple legal entities, our holdings include permitted gopher tortoise recipient sites, timberland, farmland, and leased acreage. Operations are managed by a dedicated Ranch Manager and a small, collaborative back-office team. We are in the process of transitioning to a new cloud-based ERP platform designed specifically for family office and land-management operations.


About the Ranch Work

The ranch entities are engaged in three primary revenue-generating activities:

Gopher Tortoise Relocation Program – The ranch serves as a permitted recipient site for Gopher Tortoise relocations under the Florida Fish and Wildlife Conservation Commission (FWC) permitting framework. This is the primary revenue stream and requires careful tracking of reservation letters, relocation agreements, delivery documentation, and per-project billing across numerous counterparties.

Timber Management – Timberland tracts on the ranch are subject to periodic timber harvests, generating lump-sum or volume-based revenues that require proper recognition, documentation, and reporting.

Land Leasing – Certain acreage is leased to third parties under annual agreements, generating predictable lease income. The accountant will be responsible for timely invoicing and collection of lease receivables.


Role Overview

We are looking for a detail-oriented, self-directed Staff Accountant to own the day-to-day accounting function across all ranch entities. You will work directly with the Ranch Manager to capture operational activity, ensure the books close cleanly each month, and produce financial reports that give our partners a clear, accurate picture of performance.


Key Responsibilities

Accounts Receivable

  • Generate invoices for all GT relocation deliveries, lease income, timber proceeds, and other revenue
  • Track and manage open receivables across all entities; follow up on outstanding balances
  • Maintain organized records of reservation letters, relocation agreements, and delivery data sheets

Accounts Payable

  • Process vendor invoices and ensure timely payment of ranch operating expenses
  • Maintain proper coding of expenses across entities and cost categories
  • Manage vendor relationships and resolve billing discrepancies

Month-End Close

  • Execute a complete, timely monthly close for each entity in the portfolio
  • Perform bank reconciliations and review account balances for accuracy
  • Maintain fixed asset schedules for land, improvements, and equipment
  • Ensure inter-entity transactions and allocations are properly recorded

Partner Reporting

  • Produce clear, accurate monthly financial reports for distribution to partners and principals
  • Prepare consolidated views where appropriate and flag unusual items with context
  • Support ad hoc reporting requests and analysis as needed

ERP & Systems

  • Support implementation of the organization's new cloud-based ERP system and serve as the primary day-to-day operator once live
  • Maintain clean chart of accounts, entity setup, and reporting configurations
  • Identify opportunities to streamline and automate recurring workflows
