Position Overview
As a Document Control Specialist, you will manage and maintain project document control systems by logging, routing, and distributing documentation to the appropriate team members. You will work independently to ensure documents are accurately processed while collaborating with project staff to support workflow efficiency.
In this role, strong communication, organization, and the ability to coordinate multiple tasks on deadline are essential.
District Overview
TIC Power (TICP) is a subsidiary of Kiewit Corporation that provides direct-hire construction services for Power Generation utilizing a non-union craft force. Strength in estimating and pre-project planning. Constructing cogeneration, combined-cycle, geothermal and waste-to-energy generation and resource facilities. TIC Power builds major EPC power plant and solar farm projects throughout North America.
Location
The position is based out of Scottsburg, VA.
Responsibilities
• Maintain the Project Document Control Program throughout the full project lifecycle.
• Control the numbering, sorting, filing, storing, and retrieval of electronic and hard-copy documents.
• Oversee proper approval processes, document maintenance, distribution, and retention policies.
• Reproduce documents as needed and prepare reports, addendums, and related documentation.
• Track and maintain records of all incoming document transmittals and prepare outgoing transmittals.
• Ensure all system documents remain accurate, up-to-date, and properly maintained.
• Perform process audits to verify accuracy and completeness of controlled documentation.
• Assist internal teams, external customers, and vendors with information requests.
• Participate in corrective and preventive action activities and related investigations.
• Guide and support the team managing document flow and distribution at the project site.
• Train project personnel on document control standards, workflows, and systems.
• Safeguard sensitive and confidential information.
• Perform additional duties as assigned by project management to support company goals.
• Demonstrate punctuality and reliability for scheduled work shifts.
• Collaborate effectively and work cooperatively with team members and stakeholders.
• Sit for extended periods (up to eight hours) as required for the role.
• Manage multiple competing priorities in a high-pressure environment while maintaining a customer-focused mindset.
• Consistently meet deadlines and produce accurate work.
Qualifications
• Basic knowledge of Electronic Document Management Systems (EDMS)
• Knowledge of records/information management principles and their methodologies is an asset
• Proficient in Microsoft Office.
• Knowledge of SharePoint and InEight software is a plus!
• Willing to perform a variety of tasks and learn new skills
• Be detailed oriented, flexible, and highly motivated.
• Possess excellent interpersonal, written, and verbal communication skills.
• The ability to work effectively within a project team with minimal supervision
