Job description

We are seeking an Executive Administrative Assistant to join IQVIA remotely in the US.

Provide high-level administrative and project management support to a senior business leader, typically at the VP level, within a complex global organization. Partner with leadership to manage business priorities, drive key initiatives, and ensure seamless day-to-day operations while handling highly confidential information with discretion and professionalism.

What You'll Be Doing:

  • Manage complex executive calendars, schedule meetings, and coordinate domestic and international travel arrangements.

  • Prepare, edit, and distribute correspondence, presentations, reports, meeting materials, and executive communications.

  • Coordinate and facilitate internal and external meetings, including agenda preparation, meeting minutes, and follow-up on action items.

  • Support recruitment activities and onboarding processes for new team members.

  • Serve as a primary liaison between the executive and key internal and external stakeholders, ensuring effective communication and follow-through.

  • Conduct research, gather data, and prepare reports, recommendations, and business summaries to support leadership decision-making.

  • Lead and coordinate key projects and strategic initiatives on behalf of the executive, managing timelines, milestones, deliverables, and stakeholder communications.

  • Monitor project progress, identify risks or potential delays, and provide regular status updates, insights, and recommendations to leadership while driving initiatives to successful completion.

What We Are Looking For:

  • High School Diploma or equivalent required.

  • 3 years of executive administrative support experience, preferably supporting VP-level or senior executives in a corporate or global business environment.

  • Demonstrated experience coordinating projects, managing competing priorities, and working independently in a fast-paced environment.

  • Other Equivalent combination of education, training, and experience may be accepted in lieu of degree.

The Knowledge, Skills and Abilities Needed for This Role:

  • Advanced proficiency with Microsoft Office Suite, including Outlook, Word, PowerPoint, Excel, Access, and other business applications.

  • Exceptional organizational, project management, time management, prioritization, and multitasking skills with the ability to meet demanding deadlines.

  • Excellent written and verbal communication skills with proven ability to interact effectively with senior leadership, clients, and cross-functional stakeholders.

  • Demonstrated ability to maintain confidentiality, exercise sound judgment, manage stakeholder relationships, analyze data, solve problems, and work independently in a remote environment.

The potential base pay range for this role, when annualized, is $48,000.00 - $120,000.00.
