Job description

As the Tenant Services Coordinator, your role will be to elevate the tenant experience to maintain and increase occupancy. You will support the team in executing deliverables and customer service to our tenants and client. 

Essential Duties and Responsibilities 

  • Assist the team with various administrative tasks, including answering phones, communicating with tenants, maintaining paper and electronic files, and maintaining insurance certificates. 
  • Manage the work order system, including follow-up on specific work orders as necessary, and assist in the practice of emergency procedures including fire drill preparations and execution. 
  • Process and code invoices; assist with preparation of tenant work orders for monthly tenant billbacks and supplemental readings. 
  • Respond to tenant needs, ensuring that administrative and building technical staff resolve problems promptly. 
  • Coordinate tenant move-in/move-out documentation, manage signed moving policies, and review COIs for accuracy. 
  • Maintain updated tenant contact lists, update engineer on-call binder, and support tenant events and conference center reservations. 
  • Contribute to process improvement initiatives, including creating efficiencies in tenant outreach programs. 
  • Perform other duties and responsibilities as assigned. 

Qualifications 

  • High School Diploma/GED or equivalent experience; up to 2 years of job-related experience required. Bachelor's Degree preferred. 
  • Working knowledge of Microsoft Office Suite. 
  • Basic math skills with ability to calculate percentages, discounts, and markups. 
  • Strong organizational skills with an inquisitive mentality. 
  • Communication skills sufficient to exchange straightforward information with tenants, vendors, and team members. 
  • Applicants must be currently authorized to work in the United States without the need for visa sponsorship now or in the future.

Participates in monthly building walks and tenant visits. Infrequent travel required. 

 This position is 100% in-office. The role requires working in office during standard business hours. Remote work or telecommuting is not an option for this position.
