Job Description
Position Summary
The Temporary Part-Time Training Manager supports Vanderbilt University Public Safety (VUPS) by coordinating, scheduling, and facilitating departmental training and professional development activities. This temporary role provides supplemental support to Public Safety leadership by helping maintain training records, coordinating training logistics, supporting annual in-service requirements, and assisting with onboarding and development initiatives for public safety personnel.
This position is intended to provide operational and administrative training support during a transitional period, special project initiative, staffing gap, or organizational need. The role works collaboratively with Public Safety leadership, supervisors, instructors, and university partners to help ensure training activities are organized, communicated effectively, and aligned with departmental expectations.
Key Functions and Expected Performance
Training Coordination and Administrative Support
  • Coordinate departmental training schedules, registrations, and training communications.
  • Support annual in-service training and other required departmental training initiatives.
  • Maintain training records, attendance documentation, certifications, and related files.
  • Assist with onboarding and orientation activities for new employees.
  • Coordinate logistics for internal and external training opportunities, including facilities, materials, instructors, and participant communications.
  • Monitor training completion requirements and provide reports to leadership as requested.

Professional Development Support
  • Partner with supervisors and departmental leaders to identify and coordinate training opportunities that support employee development.
  • Assist with the delivery and coordination of leadership, customer service, safety, compliance, and professional development training programs.
  • Help distribute training materials, resources, and departmental communications.
  • Support efforts to promote a culture of continuous learning and professional growth throughout the department.

Collaboration and Operational Support
  • Work collaboratively with Public Safety leadership, instructors, university departments, and external training providers.
  • Assist with special projects related to training, employee development, onboarding, accreditation, or departmental readiness.
  • Support compliance with departmental, university, state, and regulatory training requirements.
  • Provide general administrative and operational support for departmental training and professional development initiatives.
  • Perform other duties as assigned.

Education and Certifications
  • Bachelor's degree from an accredited institution in Criminal Justice, Education, Public Administration, Organizational Leadership, Human Resources, or a related field is preferred.
  • Equivalent combination of education and relevant experience may be considered.
  • Must possess and maintain a valid driver's license.

Experience and Skills
  • Minimum of three (3) years of experience in training coordination, employee development, public safety, higher education, administrative support, or related professional environments preferred.
  • Experience supporting employee training, onboarding, professional development, or compliance-related programs is preferred.
  • Strong organizational, communication, and interpersonal skills.
  • Ability to manage multiple projects, coordinate competing priorities, and maintain accurate records.
  • Ability to work collaboratively with individuals from diverse backgrounds and across organizational levels.
  • Experience preparing reports, tracking completion metrics, and maintaining training documentation.
  • Proficiency with Microsoft Office applications and training-related administrative systems is preferred.
  • Ability to exercise sound judgment, maintain confidentiality, and provide exceptional customer service.

Working Relationships
The Temporary Part-Time Training Manager works closely with Public Safety leadership, sworn and non-sworn personnel, university partners, training vendors, and external agencies to support departmental training and employee development initiatives.
