Bioengineering as an outstanding opportunity for Temporary Academic Advisor to join their team.

About this Opportunity

This temporary position will provide advising, student services, and administrative support to Bioengineering graduate and undergraduate students during a period of increased operational need. Working closely with Academic Services staff, faculty, and campus partners, the individual in this role will assist with student advising, admissions and records management, event coordination, and program administration to help ensure continuity of services and a positive student experience. This position follows established departmental and university policies and procedures, referring complex student matters to senior advising staff as appropriate.

This position is full-time and expected to be up to a year in duration.

Key Responsibilities

Student Support & Advising Assistance (50%)

  • Respond to routine inquiries from current and prospective students via email, phone, and in person
  • Provide basic guidance on degree requirements, course planning, and graduation timelines
  • Assist with course registration processes and scheduling advising appointments
  • Support quarterly graduate academic progress tracking by running reports and communicating directly with students.
  • Monitor student progress and refer concerns to senior advising staff
  • Route complex advising issues (e.g., appeals, exceptions) to appropriate staff

Admissions & Records Support (25%)

  • Maintain applicant and student records in compliance with UW policies and procedures
  • Track application materials and assist prospective students with routine issues.
  • Enter and update student data in university systems
  • Generate routine reports using established templates

Event & Program Coordination (20%)

  • Provide logistical support for orientations, information sessions, recruitment events, and other graduate student activities as needed.
  • Schedule rooms, track RSVPs, prepare materials, and send event communications
  • Assist with event setup and on-site coordination
  • Maintain tracking lists for participation and program activities

Administrative & Communication Support (5%)

  • Send student communications and reminders using pre-developed templates
  • Update websites, advising resources, and Canvas pages with approved content as needed
  • Maintain spreadsheets, trackers, and program documentation

Required Qualifications

To be considered for this opportunity your application must demonstrate you meet both the minimum qualifications and additional qualifications listed below. Equivalent education and/or experience may substitute for minimum qualifications except when there are legal requirements, such as a license, certification, and/or registration.

Minimum Qualifications

  • Bachelor's degree or equivalent combination of education and experience
  • Two years of work experience in academic advising, student services, higher education, administrative support, or related areas
  • Strong organizational, communication, and customer service skills
  • Ability to follow established procedures and manage data accurately
  • Demonstrated ability to handle confidential information with discretion
  • Applicants who do not meet these qualifications WILL NOT be forwarded to the Hiring Manager.

Preferred Qualifications

  • Familiarity with student information systems (e.g., UW Student Database, Canvas, Slate, MyGrad Etc)
  • Experience coordinating events or managing logistics

Working Conditions

Occasional evening hours (outside of standard business hours) may be required to support student events, orientations, information sessions, and other departmental activities throughout the academic year.
