For use by Emory Temporary Services only ** Under the direction of the Onboarding Manager, The Onboarding Specialist is responsible for ensuring a smooth and compliant hiring experience by managing and processing all pre-employment requirements.

KEY RESPONSIBILITES:

  • This role focuses on conducting thorough background reviews, verifying documentation, and ensuring candidates meet all regulatory, organizational, and client-specific compliance standards prior to their start date.
  • The Onboarding Specialist serves as a liaison between candidates, hiring leaders, and third-party vendors to resolve discrepancies, monitor progress, and maintain accurate records.
  • By overseeing background processing with attention to detail and timeliness, the Onboarding Specialist plays a critical role in supporting the organization's hiring goals while upholding compliance, quality, and candidate experience.
  • The Onboarding Specialist provides support and assistance with administrative and transactional activities in support of the new hire onboarding process, including but not limited to:
    • Perform all duties and tasks of the Onboarding Specialist role, as required, and perform other duties as assigned or needed to support the broader TA department.
    • Monitor and process background check results for clearance; coordinate follow-up on results, if applicable
    • Ensure compliance in all tasks and confirm all hiring / regulatory documentation is received and properly maintained
    • Follow team standard operating procedures; Perform required tasks in accordance with established service level agreements (SLAs)
    • Health assessment scheduling while providing excellent customer service
    • Assist with communication and correspondence with key constituents
    • Act as resource for new hires by providing Onboarding information, ensuring awareness of onboarding tasks and answering questions
    • Ensure new hires move through Recruitment and HR system Onboarding steps
    • Identify potential gaps in minimum requirements, if applicable, and identify and communicate issues or opportunities for efficiency
    • Prepare and maintain regular onboarding reports

TRAVEL:

  • Less than 10% of the time may be required.

WORK TYPE:

  • Hybrid employee - splits time between working remotely and working in the office.

MINIMUM QUALIFICATIONS:

  • Education: Bachelor's degree - specifically Human Resources, Organizational Development, or related emphasis, and two years' office or administrative experience.

PREFERRED QUALIFICATIONS:

  • Experience: Human Resources or Recruitment is preferred.

PHYSICAL REQUIREMENTS:

  • (Medium): 20-50 lbs; 0-33% of the work day (occasionally); 11-25 lbs, 34-66% of the workday (frequently); 01-10 lbs, 67-100% of the workday (constantly); Lifting 50 lbs max; Carrying of objects up to 25 lbs; Occasional to frequent standing & walking, Occasional sitting, Close eye work (computers, typing, reading, writing), Physical demands may vary depending on assigned work area and work tasks.

NOTE: This role will be granted the opportunity to work from home regularly but must be able to commute to Emory University on a flexible weekly schedule based upon business needs.
