Job description

Radiology Patient & Administrative Coordinator
Location: Springfield, IL.
Assignment Length: Approximately 5 weeks.
Job Type: Temporary W-2 assignment.
Schedule: Monday-Friday, full-time day shift, approximately 40 hours per week.
Pay Rate: Starting from $18/hour commensurate with experience and qualifications.
Anticipated Start Date: 8/24/2026.
Additional Opportunity: Candidates who are available to support both the Springfield and Chicago portions of the assignment may also be considered for the full 11-week position.
About the Position
We are seeking a dependable, organized, and patient-focused Radiology Patient & Administrative Coordinator to support a mobile mammography screening program in Illinois.
This is a non-clinical administrative position that will work closely with the Mammography Technologist and other members of the healthcare team. The coordinator will help manage patient check-in, appointment scheduling, paperwork, records, communication, and daily patient flow so the Mammography Technologist can remain focused on patient care and imaging responsibilities.
The ideal candidate is professional, welcoming, detail-oriented, and comfortable working directly with patients.
Program Overview
This position supports the first approximately five weeks of a 11-week mobile mammography program. The program will begin in Springfield/Sangamon County than Champaign-Urbana and later transition to the Chicago Metro and Cook County area for approximately six weeks.
Responsibilities:
  • Welcome patients and assist with the check-in process.
  • Confirm patient appointments and verify patient demographic and contact information.
  • Provide patients with required registration, consent, screening, and medical history forms.
  • Review patient paperwork for completeness and follow up on missing information.
  • Assist patients with completing forms while maintaining privacy and confidentiality.
  • Schedule, confirm, cancel, and reschedule mammography appointments.
  • Communicate appointment instructions and help patients understand what to expect during their visit.
  • Manage patient flow and communicate scheduling changes or expected wait times.
  • Answer incoming telephone calls, take messages, and route questions to the appropriate team member.
  • Maintain accurate and organized patient records in accordance with company procedures.
  • Upload, scan, file, and securely transmit patient documents as required.
  • Coordinate the collection and transfer of prior mammography records or images when applicable.
  • Support communication among patients, the Mammography Technologist, radiology providers, scheduling teams, and authorized healthcare personnel.
  • Assist the Mammography Technologist with non-clinical administrative tasks before, during, and after screening appointments.
  • Prepare registration materials, forms, schedules, and other administrative supplies at the beginning of each workday.
  • Monitor administrative and patient supplies and notify the appropriate team member when items need to be replenished.
  • Maintain a clean, organized, and professional reception and patient waiting area.
  • Follow all patient privacy, confidentiality, HIPAA, and company requirements.
  • Complete additional administrative duties related to the mammography screening program as assigned.
Qualifications:
  • High school diploma or GED required.
  • At least two years of administrative, medical front-desk, patient scheduling, or customer service experience preferred.
  • Previous experience in a medical office, radiology department, imaging center, hospital, or outpatient healthcare setting strongly preferred.
  • Familiarity with patient registration, appointment scheduling, and medical records preferred.
  • Knowledge of medical terminology is preferred.
  • Experience using electronic medical records, radiology information systems, scheduling platforms, or patient registration systems is a plus.
  • Proficiency in Microsoft Office, including Outlook, Word, and Excel.
  • Strong verbal and written communication skills.
  • Excellent customer service and interpersonal skills.
  • Strong organizational skills with close attention to detail.
  • Ability to manage multiple responsibilities in a fast-paced patient-care environment.
  • Ability to communicate calmly and professionally with patients who may feel anxious or concerned about their screening.
  • Ability to maintain patient confidentiality and protect private health information.
  • Ability to work independently while collaborating closely with the Mammography Technologist and broader healthcare team.
  • Reliable transportation and the ability to travel between assigned Illinois screening locations as required.
