About the role
The Shade Room is seeking a highly organized, temporary Digital Media Operations Coordinator to bridge the gap between content creation and technical execution. In this role, you will manage the digital supply chain for our new video commentary pilot, handling everything from video conversion and file management to live stream coordination and platform uploads. Balancing technical asset management with agile project tracking, you will work closely with the production team to ensure our fast-paced media pipeline runs flawlessly.
What you'll do
  • Content Distribution & Uploads: Manage the final delivery stage of the pilot program by uploading fully produced video assets across various social media channels according to the editorial schedule.
  • Video Optimization & Exporting: Format, convert, and optimize video exports to meet the specific technical requirements, aspect ratios, and file constraints of different social platforms (e.g., TikTok, Instagram, YouTube).
  • Asset & File Management: Maintain a clean, organized digital workspace using FTP protocols, cloud storage, and asset management tools to ensure seamless file sharing between remote team members.
  • Live Stream Coordination: Assist with the technical setup, monitoring, and backend management of live streaming sessions, ensuring stable broadcasts and troubleshooting minor connectivity issues.
  • Project Management Support: Track production timelines, keep tabs on pending deliverables, and coordinate schedules to keep the fast-paced remote team aligned and meeting daily deadlines.
  • Remote Production Assistance: Provide general operational support to the Senior Producer and On-Camera Host, helping to streamline workflows and solve logistical hurdles as they arise.

Knowledge/Skills/Abilities
  • Familiarity with the brands and businesses of The Shade Room.
  • An understanding of or interest in entertainment news, celebrity culture, and the fast-moving digital footprint of The Shade Room.
  • Digital Operations & Logistics: Strong organizational and project management skills with a proven track record of managing digital workflows and scheduling deliverables in a fast-paced media environment.
  • Technical Asset Literacy: Solid foundational knowledge of video file formats, codecs, resolution settings, and compression techniques optimized for social platforms.
  • File Transfer Protocols: Comfort utilizing FTP systems, Google Drive, Dropbox, or other high-volume file transfer systems to securely move and archive large media files.
  • Live Broadcast Familiarity: Basic understanding of live streaming workflows and software (e.g., OBS, StreamYard, or platform-native live tools) to help coordinate real-time broadcasts.
  • Detail-Oriented & Proactive: Extreme attention to detail with the ability to spot technical formatting errors or scheduling conflicts before content goes live.
  • Collaboration & Communication: Excellent communication skills tailored for a fast-moving, fully remote production team operating under tight breaking-news constraints.
  • Demonstrated project coordination skills, with experience utilizing project management tools (e.g., Asana, ClickUp, Trello, or Airtable) to track production pipelines, manage delivery schedules, and meet tight daily deadlines.
  • Basic literacy in video editing software (e.g., Adobe Premiere, CapCut) to assist with quick technical fixes or re-exports if needed.

Education and Experience
1-3 years of experience in digital media operations, post-production coordination, social media management, or a project management support role within a fast-paced media environment. Experience troubleshooting and working in a remote production setup, supporting cross-functional teams (producers, editors, and hosts) under tight breaking-news constraints. Proven experience managing digital assets and workflows, including formatting, converting, and optimizing video exports (codecs, aspect ratios, file sizes) specifically for TikTok, Instagram Reels, and YouTube. Hands-on proficiency with cloud storage and file transfer systems (e.g., Google Drive, Dropbox, Frame.io, or FTP protocols) to maintain highly organized digital workspaces for remote teams.
