Role Summary

The Project Manager is responsible for managing scenic, Spacecube, and temporary structure projects from turnover through closeout. This role oversees project execution related to schedule, budget, scope coordination, and cross-department communication while partnering closely with CAD, Production, Installation, Logistics, and Estimating teams.

This position is responsible for independently managing low to moderate complexity projects while supporting Senior Project Managers and leadership on larger or more complex builds. The Project Manager serves as the primary day-to-day contact for assigned projects and is expected to maintain clear communication with clients, vendors, and internal teams throughout the project lifecycle.

The Project Manager should possess a strong understanding of scenic fabrication and installation workflows to effectively coordinate technical discussions, communicate project impacts, and relay information between clients and internal teams. This role is not responsible for engineering, drafting, or making final technical design decisions.

Key Responsibilities:

Project Management & Execution

  • Manage assigned scenic, Spacecube, and temporary structure projects from turnover through final closeout.
  • Develop and maintain project schedules, deliverables, labor plans, and execution timelines.
  • Coordinate project scope, assumptions, milestones, and client expectations throughout the project lifecycle.
  • Independently manage low to moderate complexity projects while assisting on larger or higher complexity projects.
  • Serve as the primary internal point of contact for assigned projects.

Cross-Functional Coordination

  • Coordinate with CAD to ensure drawings and project documentation align with fabrication and client requirements.
  • Partner with Production, Fabrication, Paint, and Installation teams to support project sequencing and execution.
  • Work closely with Inventory, Logistics, and Yard teams to ensure material readiness and project support needs are met.
  • Collaborate with Estimating regarding scope changes, project impacts, and budget considerations.
  • Support onsite planning related to labor, equipment, logistics, and installation readiness.

Client & Stakeholder Communication

  • Lead client meetings and maintain professional communication throughout project execution.
  • Communicate schedule updates, scope impacts, risks, and project status proactively with clients and internal stakeholders.
  • Coordinate information flow between technical teams and clients to ensure alignment and understanding of project requirements.
  • Participate in project review meetings and assist with documenting action items and follow-up tasks.
  • Support review and coordination of graphics, client-provided assets, and third-party procurement requirements.

Budget, Risk & Change Management

  • Track project budgets, labor usage, schedules, and execution progress.
  • Identify and communicate potential project risks, schedule concerns, or cost impacts early.
  • Coordinate change order requests and scope revisions with the Estimating Department for review and processing.
  • Support efforts to maintain project profitability, quality standards, and operational efficiency.
  • Escalate significant project concerns or execution risks to leadership appropriately.

Process, Safety & Operational Standards

  • Follow company SWIs, documentation standards, and safety protocols.
  • Generate inventory take-offs (pull lists) and load lists in coordination with Inventory and Logistics teams.
  • Generate Bills of Materials and assist with sourcing non-inventoried items as needed.
  • Support onsite Emergency Action Plan coordination with the Safety team.
  • Participate in post-project reviews and continuous improvement discussions.
  • Lead internal pre-planning meetings and review project scope, schedules, and execution plans with onsite teams.
  • Support onsite installations and travel as required.

Requirements

Qualifications

  • 5+ years of project management experience in scenic fabrication, live events, entertainment production, temporary structures, or related industries.
  • Strong understanding of scenic fabrication, temporary structures, and installation workflows.
  • Experience managing multiple projects simultaneously in fast-paced environments with tight deadlines.
  • Strong organizational, communication, and problem-solving skills.
  • Ability to lead client communication and coordinate across multiple departments.
  • Working knowledge of project budgeting, scheduling, labor coordination, and execution planning.
  • Proficiency in project management tools, Excel, CAD review workflows, and internal systems such as Monday.com or similar platforms.
  • Willingness to travel and support onsite installations as required.

Pay Scale:

Salaried Exempt - $85-95K negotiable based on relevant experience.
