Job description

Responsibilities*
Position Summary :
The Office Assistant provides executive administrative support for the Assistant Vice President, Leadership & Major Gift Programs, ensuring timely communication and coordination with university colleagues. The position assists with scheduling, project work, database reporting, and compiling research and briefing materials as needed.
Characteristic Duties and Responsibilities :
  • C oordinate the effective scheduling of meetings, exercising discretion and judgment as to priorities. Obtain, prepare, and organize background materials, agendas, and minutes for various meetings as requested; maintain appropriate follow-up.
  • Respond promptly to requests for information or time; bring the AVP?s attention to matters of particular urgency and sensitivity.
  • Coordinate/monitor travel of AVP as needed; create/manage expense reports and other tasks.
  • As needed, run reports for the purpose of strategic business management.
  • As needed, manage documentation of AVP?s donor interactions in Donor Alumni Relationship Tool (DART).
Required Qualifications*
  • Excellent written and oral communication and interpersonal skills
  • Demonstrated discretion when dealing with highly sensitive information
  • Ability to effectively communicate and work with all levels of constituents, while operating in a fast-paced environment
  • Proven track record in excellent customer service
  • Considerable knowledge of Google Suite
Preferred Qualifications :
  • Executive support experience

Modes of Work
This position is hybrid. Required to work in the office Monday-Wednesday; Thurs-Fri can be remote.
