Key Responsibilities (What You Are Doing)

  • Serve as the primary point of contact for vendor setup and payment processing, ensuring timely and accurate execution.
  • Partner with Strategic Procurement, Supplier Administration, and Finance teams to manage vendor setup, purchase orders, contracts, project codes, and payment workflows.
  • Oversee day-to-day production operations, including freelancer onboarding, timecard management, p-card reconciliation, contract administration, and production tracking systems.
  • Maintain and enhance production management databases, trackers, and reporting tools to support operational efficiency and accurate record-keeping.
  • Collaborate with producers, line producers, and video leads to track project budgets, forecast costs, process invoices, and help ensure projects remain on budget.
  • Monitor production processes and identify opportunities to improve workflows, reporting, and operational consistency.
  • Support cross-functional teams by providing production coordination and administrative expertise across multiple projects.


Qualifications (What We're Looking For)

  • 3+ years of experience in production management, production operations, project coordination, or a related field.
  • Experience managing vendor setup, purchase orders, contracts, invoices, and payment workflows.
  • Strong organizational skills with the ability to manage multiple projects and competing priorities in a fast-paced environment.
  • Experience supporting production budgets, cost forecasting, and financial tracking.
  • Proficiency with production tracking systems, databases, and reporting tools, with exceptional attention to detail.
  • Strong communication and collaboration skills, with the ability to work effectively across creative, finance, procurement, and operations teams.
  • A proactive, solutions-oriented mindset with a focus on continuous process improvement.
  • This is a hybrid role based in New York City, requiring 4 days per week in the office.


The hourly pay range for this role is $37.50-$40.00 per hour. This position is not eligible for bonus or commission compensation. Actual compensation will be determined based on experience, skills, qualifications, and location.

  • Bachelor's degree or equivalent experience in production, media, digital content, television, or a related field.

  • 3+ years of production management, production coordination, production operations, or related experience within digital media, television, or branded content.

  • Highly organized with exceptional attention to detail and the ability to manage multiple projects, budgets, vendors, and deadlines simultaneously.

  • Comfortable working with financial and operational systems, including invoicing, budgeting, procurement, expense reconciliation, and freelancer administration.

  • Strong communicator who can effectively collaborate with internal stakeholders, external vendors, freelancers, and cross-functional partners.

  • Resourceful problem solver who thrives in a fast-paced production environment and can adapt to shifting priorities.

  • Experienced in managing production logistics and supporting creative teams through all stages of production.

  • Proficient with project management and tracking tools; experience with Airtable, Oracle, procurement systems, or similar operational platforms is a plus.

What You Will Do:

  • Perform as the initial point of contact for vendor set up and payment processing. 

  • Partner with Strategic Procurement, Supplier Administration, and Finance teams to manage vendor setup, purchase orders, contracts, project codes, and payment workflows.

  • Oversee production operations, including freelancer onboarding, timecard management, p-card reconciliation, contract administration, and production tracking systems.

  • Maintain and continuously improve production management databases, trackers, and reporting tools to ensure accurate record-keeping and operational efficiency.

  • Collaborate closely with producers, line producers, and video leads to track budgets, forecast costs, process invoices, and ensure projects remain on budget.

  • Support the hiring and onboarding of freelance crews, editors, and production personnel, including rate negotiation and staffing logistics.

  • Manage monthly close processes by reconciling expenses, monitoring outstanding invoices, and ensuring timely submission of costs for financial reporting.

  • Coordinate procurement and purchasing needs across multiple brands and productions, ensuring compliance with company policies and budget requirements.

  • Provide operational guidance and production support for domestic and international productions, including vendor payments, onboarding requirements, and production logistics.

  • Partner with the Executive Director of Video Production and Production Management team to establish and maintain best practices that support efficient, scalable production operations.
