Job description


We have an immediate opportunity for a Construction Project Coordinator who will be responsible for assisting in the day-to-day procurement of materials, equipment, and services that support our construction projects from project kickoff through final close-out. Work hours are Monday through Friday 8 a.m. to 5 p.m.
Job Responsibilities:
  • Issue, track, and expedite purchase orders for structures, glazing, environmental control systems, irrigation components, benching, fasteners, and related construction materials
  • Verify quantities, pricing, lead times, delivery terms, and specifications against project requirements and approved budgets before issuing each purchase order
  • Solicit and compare vendor quotations for routine purchases and maintain accurate purchase order records, vendor confirmations, and shipping documentation
  • Reconcile vendor invoices against purchase orders and packing slips; resolve pricing or quantity discrepancies before approval
  • Work directly with Program Managers to understand site schedules, sequencing requirements, and delivery windows for each active project
  • Coordinate delivery of materials and equipment to job sites, staging yards, and the Strongsville depot to align with crew arrivals and installation milestones
  • Communicate proactively with Program Managers, Superintendents, and field crews regarding order status, ETA changes, backorders, and substitutions
  • Arrange freight, trucking, and specialized transportation, confirm site readiness for receipt, and track equipment rentals, returns, and on-site tool needs in coordination with field leadership
  • Maintain working relationships with established suppliers, manufacturers, fabricators, and distributors serving the construction industry
  • Follow up on open orders and expedite shipments when schedules tighten
  • Document vendor performance issues such as late deliveries, short shipments, damaged goods, or quality defects, process returns, warranty claims, and credit memos in coordination with vendors and accounting
  • Monitor stock levels of commonly used materials, consumables, and hardware at the shop and depot, place replenishment orders to maintain adequate inventory without overstocking
  • Support periodic physical inventory counts and reconciliation and help track company-owned tools and equipment assigned to crews and job sites
  • Generate routine reports covering open purchase orders, committed costs, receipt status, and delivery schedules

Job Requirements
Job Qualifications:
  • Experience supporting field-based or project-driven operations where deliveries must be coordinated to job site schedules is needed
  • Prior exposure to construction, structural components, glazing, or environmental control systems is a strong plus
  • Acumatica ERP experience is highly recommended - including purchase order entry, vendor management, inventory modules, and project-based cost tracking
  • Hands-on Acumatica experience configuring or refining purchasing and inventory workflows, purchasing for projects spanning multiple states or regions, and exposure to freight coordination, including LTL, flatbed, and oversized loads is preferred
  • Must be proficient in Microsoft Excel including filtering, sorting, basic formulas, and pivot tables for tracking orders and costs
  • Must have the ability to read and interpret basic construction drawings, equipment specifications, and bills of material
  • Must have strong organizational skills and attention to detail, with the ability to manage many open orders across multiple active projects
  • Must have professional written and verbal communication skills, along with, sound judgment in prioritizing competing requests
  • Basic negotiation skills for routine pricing, freight, and lead-time discussions with vendors is needed
  • Must have a problem-solving mindset and a willingness to follow through until issues are fully resolved
