REPORTS TO: Manager of Admissions Technical Operations
PLACEMENT: Grade 105
HIRING RANGE: $20.70 - $21.94 per hour

POSITION SUMMARY
The Admissions Operations Specialist I will assist the Admissions Operations Team with typical duties that include working with incoming students, compiling and analyzing information for reports or presentations; maintaining records and databases; responding to correspondence; editing and proofreading documents. The position will also assist with technical setup, online student admissions application and admissions processing functions.

ESSENTIAL JOB DUTIES AND KEY RESPONSIBILITIES
1. Assist students with completing application(s) as needed, log-on directions, resolve errors, password resets, and duplicate accounts related to person records in CRM Recruit.
2. Monitor application data for indicators of fraudulent activity.
Investigate flagged records and collaborate with other departments to resolve discrepancies and enforce institutional policies.
3. Generate reports on fraud trends, risk patterns, and audit findings to inform and strengthen preventative measures.
4. Assist with planning, building, and executing multi-channel communications (email, SMS, print, and digital) for prospective students and applicants.
5. Assist with maintaining a comprehensive CRM communications calendar aligned with enrollment goals.
6. Assist with monitoring campaign performance and optimizing messaging based on analytics (open rates, click rates, conversion).
7. Assists with electronic uploads of student ACT and SAT scores into the ERP & CRM system.
8. Identify opportunities to enhance the collection and quality of data from applicants and prospective students and develop strategic recommendations to improve data-gathering processes in support of institutional objectives and the long-term strategic plan.
9. Assists with developing and maintaining reports and dashboards within CRM Recruit, Colleague, and Reporting tools.
10. Assists with document scanning, identifying imaged documents and assigning appropriate index based upon pre-determined parameters and ensure quality of image.
11. Assist with onboarding users to CRM Recruit and Colleague processes.
12. Perform other duties as assigned.

MINIMUM QUALIFICATIONS
1. Associate's Degree in a related field (e.g., Higher Education, Information Systems, Data Analytics, Business).
2. One (1) year of experience in admissions, enrollment management, CRM administration, or data analysis.
3. Experience working with CRM Systems
4. Strong analytical skills with the ability to interpret and present data.
5. Ability to handle multiple tasks and responsibilities simultaneously. Effective organizational skills.
6. Ability to establish and maintain cooperative and effective working relationships with other members of the college and community, displaying cultural competence as well as emotional intelligence.
7. Demonstrated commitment to the college's core values of respect and inclusion, sustainability, integrity, collaboration, humor and well-being, innovation and quality.

PREFERRED QUALIFICATIONS
1. Bachelor's Degree.
2. Experience working with CRM Recruit.
3. Familiarity with Ellucian Colleague
4. Experience with document imaging.
5. Knowledge of HTML, SQL, reporting tools or advanced Excel.
6. English, Spanish and/or other languages verbal and written communication proficiency.
7. Demonstrated multicultural competence.

PHYSICAL DEMANDS
1. Normal office physical demands.


WORKING CONDITIONS
1. Admissions Office regular hours of operation are 8:00am - 6:00pm, Monday - Thursday and 8:00am - 4:30pm on Fridays.
2. Occasional evening and weekend hours may be required for admissions events and special office hours during peak times.
